Job Description

Position Summary and Purpose: The Administrative Assistant performs day-to-day administrative office tasks and is an integral part in ensuring office operations run smoothly to support business activities. This role will offer administrative support to the Accounting and Production departments as well as general administrative support to the facility.

Essential Functions

  • Provide administrative support for production activities, including managing pick lists, coordinating pre-weigh processes, and communicating with the scheduling team.
  • Provide general administrative support for the accounting department, including data entry, filing, and assisting with invoice processing.
  • Welcome clients and visitors to the office and assist them as needed.
  • Answer phones and route calls to appropriate people.
  • Perform various clerical tasks as needed, including receiving packages, filing papers, organizing supplies, and receiving uniform orders.
  • Manage, sort, and dispense incoming mail.
  • Clean and tidy public office and meeting spaces
  • Assist and support designated departments with tasks as assigned
  • Create, maintain, and enter information into databases.
  • Assist with coordination of company events.
  • Maintain inventory for office and breakroom supplies.
  • Additional duties as assigned.

  • Proficient knowledge of Microsoft Office

The physical responsibilities described here must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is frequently required to sit, stand, bend, as well as talk and hear. Specific vision abilities required by this job include close vision. Must be able to regularly use hands to finger, handle or feel objects, tools, or controls, reach with hands and arms, and climb stairs. The position requires the ability to occasionally lift, push or pull office products and supplies, up to 25 pounds.

Position Type / Expected Hours of Work

  • This is a full-time position. Standard days and hours of work are Monday through Friday, 7:30am – 4:00pm

Required Education and Experience

  • High school diploma or equivalent and 1 year of office support experience

Preferred Qualifications

  • Bachelor’s degree and 3+ years of office support experience
  • Experience in a manufacturing environment
  • Experience supporting an Accounting function
