This position provides support to nursing management in overall day-to-day coordination of staffing needs for individual patient care areas and is directly responsible for identifying the daily needs and changes in staffing and communicates to appropriate individuals. Manages the input of data in the electronic scheduling system. Manages the daily operations related to the use of the scheduling system. This position maintains the time and attendance records, processes the weekly payroll, makes manual edits on the payroll sheets, and communicates with the Payroll department. Maintains good interpersonal, intra/interdepartmental relationships by his/her use of communications systems and personal contact.

I. Major Responsibilities:
1. Identifies staffing needs and confers with appropriate managers throughout the day.
2. Responsible for the accurate entry in the automated scheduling system: Enters all new hires into the Controller. and Scheduler. Updates monthly and daily schedules, manages and prints daily staffing sheets, sign-in sheets. Posts staffing needs lists.
3. Compiles daily staffing information and discusses with the appropriate manager or director.
4. Participates in daily Patient Flow bed meeting “huddles”.
5. Makes calls to fill staffing needs. Validates constant observation needs and communicates with charge nurses any changes in staffing needs.
6. Identifies overtime staffing and participates in reduction of expenses.
7. In conjunction with the Managers, identifies and maintains staffing allocations and staffing needs to meet patient volume and acuity and to meet budgetary goals.
8. Coordinates payroll data entry, completion of automated time card and People Soft sheets.
9. Functions as a “superuser” with automated scheduling system.
10. Enters personnel data and new hire information into the scheduling system.
11. Compiles productivity reports, attendance calendars, and overtime reports.
12. Distributes reports to Finance Dept. and the Chief Nursing Officer (CNO).
13. Provides training with automated scheduling system for new nurse managers, nursing supervisors and administrative assistants.
14. Validates accuracy of schedules and provides daily staffing reports to the off-shift nursing supervisors.

4. Complies with all health and safety regulations and requirements.

6. Maintains, regular, reliable, and predictable attendance.
7. Performs other similar and related duties as required or directed.

II. Position Qualifications:

License/Certification/Education:
Required:
1. High school diploma or equivalent

Experience/Skills:
Required:
1. Knowledge of basic medical terminology
2. Strong organizational skills and attention to detail
3. Strong follow up skills
4. Strong interpersonal and communication skills
5. Ability to build and maintain positive working relationships
6. Basic knowledge of MS Office applications and the ability to learn new software programs rapidly
7. Knowledge of automated scheduling systems
8. Ability to read, write and speak clearly in English

Preferred:
1. Minimum three (3) years of staffing experience in a healthcare organization

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies, including age-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
