About This Position
Job Title: Office Manager
Reports To: Regional Manager/Director of Operations
Position Overview:
The Office Manager oversees the daily operations of Pulse Primary Care. As the Office Manager, you will be responsible for ensuring the smooth running of the office and providing administrative support to our team. You will play a vital role in maintaining an efficient and organized office environment, which will directly contribute to the productivity and success of our practice. Your efforts will ensure our team operates seamlessly and delivers the best possible care to our patients.
Key Responsibilities:
- Manage Daily Office Operations:
Oversee the daily operations of the office, ensuring all systems, processes, and procedures run efficiently. Manage office resources, supplies, and equipment. - Administrative Support:
Provide comprehensive administrative support to the team, assisting with scheduling, correspondence, and other office tasks as needed. - Financial Management:
Manage accounts payable and bookkeeping tasks, ensuring financial records are kept up-to-date. Reconcile financial statements and assist with any financial reporting. - Appointment Scheduling & Records Management:
Maintain appointment schedules for physicians and staff, ensuring timely and accurate patient appointments. Oversee patient records management, ensuring all information is up-to-date and HIPAA compliant. - General Office Duties:
Perform general office duties such as answering phones, filing, organizing documents, and assisting with patient check-ins and check-outs as needed. - Team Coordination:
Coordinate with team members to ensure smooth office operations, including communication between medical and administrative staff.
Skills Required:
- Office Management: Demonstrated experience in managing daily office functions, ensuring a highly organized and efficient environment.
- Bookkeeping & Accounts Payable: Proficient in handling accounts payable and basic bookkeeping duties.
- Appointment Scheduling & Records Management: Skilled in managing schedules and patient records in an organized and confidential manner.
- Time Management & Multitasking: Ability to prioritize tasks effectively and handle multiple responsibilities simultaneously.
- Communication & Interpersonal Skills: Excellent communication skills for collaborating with the team, physicians, and patients.
Other Duties and Responsibilities:
- Maintain a safe and clean work environment by ensuring all office areas meet safety standards and comply with company policies.
- Perform other duties and responsibilities as assigned by management to support the effective operation of the office.
