About This Position

Under direction will provide administrative support services to all Township Officials within the Mayor's Office. The Administrative Assistant/Scheduler is primarily responsible for all scheduling duties for the Mayor and assisting with other administrative duties. Note: The examples of work for this title are for illustrative purposes only. A particular position using this title may not perform all duties listed in this job specification. Examples of Works: • Provide administrative support to the Mayor and other Township Officials within the department of Administration. • Calendar management: Manage meeting-heavy calendars of the Mayor and Township Officials within Administration to include scheduling, coordinating calls, and meetings with both internal and external entities. • Schedule & RSVP to events and meetings on behalf of the Mayor or Township Officials. • Understand meeting objectives and prioritize frequently changing needs and demands. • Provide updates to any changes in meeting participation prior to start time and determine if that changes the scope of meeting or requires rescheduling. • Orchestrate successful meeting arrangements to include room arrangement and tech set up (conference dial-in numbers, video conference, laptop/presentation set up, printed materials etc.) and confirm all connections are in place prior to meeting start time, ensuring a Plan B exists in the event of technical glitches. • Prepare, follow up, send reminders, and track meeting confirmations with participants. • Composes and edits a variety of documents, including correspondence, memos, charts, slide presentations, and graphs consistent with the Township style and standards. • Assist with written correspondence as needed. • Produce and/or assist with Mayor-run events. • Answer, screen, and transfer inbound calls. • Assist with coordination of special events. Requirements: Bachelor's Degree preferred. Administrative and/or calendar management experience required. Strong organizational skills, time management, verbal and written communication skills. Strong attention to detail and ability to work as a team member with minimal supervision. Ability to handle confidential information with discretion. Ability to work in a fast-paced environment while maintaining accuracy and efficiency. Reliable, professional attitude, and ability to work independently without supervision. Able to work with a variety of individuals in a diverse, team-oriented environment. Computer Skills: Proficient in Word, Excel, PowerPoint, Google Apps and Internet resourcefulness. Note: Applicants who do not possess the required education may substitute additional experience related to administration work, with thirty (30) semester hour credits being equal to two (2) years of experience. Knowledge and Abilities: Ability to acquire knowledge of division and department organization and programs. Ability to organize assigned administrative work and develop appropriate work methods. Ability to analyze problems and data and take or recommend action. Ability to plan and supervise administrative control systems. Ability to speak and write effectively and to analyze, edit, review, and interpret complex technical material. Ability to maintain cooperative working relationships with the department and with outside departments and agencies. Ability to maintain records and files. Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units. Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
