Position Summary

The Accounting Clerk supports the Accounting Department by managing day-to-day Accounts Receivable functions, assisting with multi-state sales tax filings, supporting billing processes, and maintaining finance communications. This role ensures timely collections, accurate invoicing, and organized financial documentation, while allowing senior accounting staff to focus on strategic and technical responsibilities. The Accounting Clerk plays a key role in maintaining strong cash flow, financial accuracy, and professional communication with customers and internal teams.

Essential Duties and Responsibilities

Accounts Receivable (Primary Focus)

  • Monitor daily accounts receivable activity
  • Maintain accurate AR aging reports
  • Follow up with customers on outstanding balances
  • Document collection efforts and customer communications
  • Coordinate escalations with the Finance Director when necessary
  • Assist with preparing accounts for potential collection agency referral

Billing & Invoicing

  • Prepare and send final customer invoices
  • Verify billing accuracy against purchase orders and contracts
  • Assist in resolving customer billing discrepancies
  • Support revenue reconciliation in coordination with Staff Accountant

Sales Tax Support

  • Assist with preparation and filing of sales tax returns across multiple states
  • Maintain sales tax filing calendar and documentation
  • Organize exemption certificates and supporting records
  • Support compliance efforts under direction of Staff Accountant and Finance Director

Finance Communications & Administrative Support

  • Assist with monitoring and responding to the finance email inbox
  • Answer finance-related phone calls and route inquiries appropriately
  • Maintain organized digital and physical financial records
  • Provide general administrative support to the Accounting Department
Qualifications

Education

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
  • Equivalent work experience may be considered

Experience

  • 1–3 years of accounting or bookkeeping experience preferred
  • Experience with Accounts Receivable and customer collections strongly preferred
  • Experience with multi-state sales tax filings a plus

Technical Skills

  • Proficiency in accounting software and ERP systems
  • Strong Excel skills (pivot tables, reconciliations, reporting)
  • Familiarity with multi-state sales tax platforms preferred
