Employee Experience & Executive Operations (This is a fully in-person role based at Toyota of Olympia)

This is not a traditional Executive Assistant role.
It’s also not a traditional HR or Employee Relations position.

This role sits at the intersection of people, culture, hospitality, leadership support, and operational execution.

We are looking for a rare kind of person — someone employees naturally trust, leaders rely on, and chaos quietly avoids. Someone who can read a room, anticipate needs, create meaningful moments for employees, protect confidential information, and help keep a fast-moving organization connected and operating at a high level.

This person will serve as both a trusted right hand to the General Manager and a key contributor to the employee experience and company culture throughout the organization.

What This Role Really Looks Like

One moment may involve walking departments, checking in with employees, and getting a feel for team morale and dynamics.

Another may involve coordinating employee recognition, or organizing department recognition events or larger company-wide events.

Sometimes it means realizing a hot summer afternoon calls for a few hundred ice cream bars for the team before anyone else thinks of it.

At the same time, this role requires strong executive support skills — helping manage priorities, projects, communication, organization, follow-through, and day-to-day operational flow for the General Manager.

This role is deeply connected to the heartbeat of the company.

What You’ll DoEmployee Experience & Culture
  • Build strong relationships with employees across all departments
  • Serve as a trusted and approachable resource for employees
  • Help maintain a positive, connected, and accountable culture
  • Support employee engagement initiatives, recognition programs, birthdays, anniversaries, and morale-building efforts
  • Assist in planning and executing company events, department events, and community involvement activities
  • Maintain awareness of employee morale and team dynamics across the organization
Executive Operations Support
  • Serve as Executive Assistant and operational support partner to the General Manager
  • Help manage priorities, communication, scheduling, projects, and follow-up
  • Screen requests, communication, and information with professionalism and sound judgment
  • Assist in keeping initiatives organized and moving forward
  • Maintain absolute confidentiality and discretion at all times
Creative + Operational Balance
  • Bring thoughtful ideas to improve employee experience and organizational culture
  • Turn ideas into organized, executable plans
  • Balance creativity with strong execution and attention to detail

Schedule & Presence

While this role will generally follow a Monday–Friday schedule, flexibility is important. Company events, employee activities, community involvement, and leadership support will occasionally require evening or weekend availability.

Because this role is deeply connected to the employee experience, company culture, and day-to-day operations of the organization, in-person presence is essential. This is not a remote position.

The right person for this role understands that meaningful culture and strong leadership support are built through visibility, responsiveness, relationships, and showing up consistently for both employees and leadership.
