What You’ll Do

As a Patient Access Rep, you will report to the Supervisor or Manager, Admitting. You will follow established Beacon Health System policies and procedures to admit and register patients for services in a professional and courteous manner. You will complete the pre-registration, registration, complete insurance verification, and must be able to accurately decipher eligibility responses and relay that information back to the patient. You will document processes that involve communicating with patients and insurance companies. You will collect applicable co-payments and deductibles and obtain insurance information from the patient. You will verify insurance benefits, post applicable co-payments and deductibles, and perform daily cash balancing procedures. You will obtain all required signatures on paperwork and perform clerical duties as necessary.

Patient Access Rep Job Responsibilities

Patient Registration & Financial Intake

  • Greet and register patients for admissions, transfers, and outpatient procedures.
  • Collect and enter demographic, insurance, and physician data into electronic systems (STAR, PHS, Cerner).
  • Verify insurance eligibility, benefits, and collect applicable payments; reconcile cash drawer.
  • Obtain required consent and assignment of benefits signatures.
  • Explain pre-certification and insurance requirements; assist with MSP and ABN forms.

Insurance Verification & Pre-Certification

  • Audit insurance eligibility and confirm network participation for transfers and scheduled services.
  • Coordinate with insurance companies and physician offices for pre-certifications and authorizations.
  • Enter authorization numbers and benefits accurately to support timely claims.

Clerical & Coordination

  • Prepare ID bands, charts, and escort arrangements.
  • Handle phone/fax inquiries related to registration.
  • Manage billing, documentation, and resolve insurance issues.
  • Refer patients with outstanding balances to Financial Counselors or Eligibility Specialists.

What You Bring

As a Patient Care Rep, it requires basic office and keyboarding skills, including typing at least 40 wpm, and proficiency with standard office equipment and multiple databases (e.g., Star Navigator, Cerner, Rev Spring, PHS, and insurance verification tools). The position demands effective telephone, verbal, and interpersonal communication skills to interact professionally and courteously with patients, physicians, and staff, including sensitivity to non-English speakers. A solid understanding of Point of Service collections, medical terminology, and insurance coverage is essential, along with the ability to explain procedures clearly to patients. Strong listening skills, good judgment, composure in stressful situations, adherence to confidentiality policies, and basic math skills for processing payments are required. The role involves working in patient care areas with potential biohazard exposure and requires a flexible schedule, including evenings, nights, weekends, and holidays, while managing multiple priorities in a quality-focused environment.

Required Qualifications

  • High school diploma or equivalent required; Associate degree preferred.
  • One year of experience in a hospital or medical office environment preferred.
  • Completion of a medical terminology course within the first year of employment.
  • CHAA (Certified Healthcare Access Associate) certification strongly preferred.
  • Open to nursing students
