True Health is seeking a Site Manager for its Buffalo Grove IL location. This role exists to keep the wheels on and the experience smooth at our newest clinic location so physicians and clinical staff can stay centered on patient care, not operational noise.

What You'll Be Doing
Reporting to the Director of Clinical Operations, you keep the clinic location running smoothly, consistently, and in line with True Health’s care standards.
You keep the day-to-day clinic running smoothly
· Oversee the daily operational flow so the site runs consistently and efficiently
· Monitor staffing coverage throughout the day and adjust assignments to maintain continuity
· Serve as the on-site point of contact for operational questions and day to day needs
· Resolve routine operational and customer service issues and escalate when broader leadership support is needed
You keep schedules clear, covered, and communicated
· Build and maintain staff schedules to ensure coverage across shifts and functions
· Coordinate daily assignments and reallocate support when gaps or coverage issues come up
· Communicate schedule changes, updates, and site announcements clearly and quickly
· Support onboarding coordination so new staff are operationally ready from day one
You keep supplies stocked and the site ready
· Track medical and operational supplies and start reorders before shortages happen
· Perform regular inventory checks and keep accurate supply and purchasing records
· Maintain cleanliness, organization, and operational readiness across clinical and common spaces
· Coordinate with vendors on deliveries and flag fulfillment issues to the Director of Clinical Operations
You protect payroll accuracy through timekeeping support
· Review timekeeping records and catch missed punches or discrepancies before payroll is finalized
· Coordinate payroll-related inputs with Finance and HR for accurate submission
· Maintain documentation tied to schedule adherence and timecard accuracy
You support clinical workflow without stepping into clinical leadership
· Coordinate operational parts of the daily workflow so clinicians stay focused on patient care
· Support smooth patient handoffs between administrative and clinical touchpoints during visits
· Reinforce consistent use of clinic workflows and processes across staff and functions
· Assist with operational preparation for openings, expansions, or service-line additions as directed
You communicate, collaborate, and escalate the right things fast
· Share regular updates with the Director of Clinical Operations on staffing needs and site status
· Partner with the Director of Clinical Operations to meet site-level operational standards and readiness criteria
· Participate in huddles, site meetings, and operational planning sessions as needed
· Escalate safety concerns, compliance questions, and patient-impacting issues through the right channels and timeframes

Experience that helps:
· Background in operations coordination, office management, or healthcare support work (2+ years)
· Experience managing staff schedules, supply inventory, or daily operational workflows
· Familiarity with Microsoft Office, scheduling tools, and basic EMR or operational software
· Exposure to clinic, medical office, or concierge healthcare environments
· Familiarity with HIPAA, OSHA, and healthcare operational compliance requirements
