Job Description

SUMMARY

The Assistant Director, Student Financial Services supports the development and execution of financial aid strategies, policies, and processes aligned with institutional goals. This role ensures compliance with all applicable federal and state regulations, as well as institutional policies, while maintaining a high standard of customer service. The Assistant Director serves as a primary resource on financial aid matters and collaborates with a broad range of internal and external stakeholders.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administer and coordinate all financial aid programs, including the Federal Direct Loan Program, private loans, College Access Loan Program, Federal Work-Study, College Work-Study, scholarships, Tuition Equalization Grant, and Veterans Affairs funding.


  • Assist in the implementation of financial aid policies, procedures, and systems.


  • Manage all financial aid processes within Banner and the Common Origination and Disbursement (COD) system, including processing tracking and award letters, maintaining and disbursing funds, calculating and processing Return to Title IV, originating Direct Loans, completing monthly reconciliations, and overseeing the Satisfactory Academic Progress (SAP) process, including appeals.


  • Prepare and analyze financial and operational reports to support administrative decision-making. Evaluate and respond to complex inquiries, providing resolution to issues related to financial aid programs and operations.


  • Establish and maintain effective working relationships across departments, particularly with Accounting Services, Admissions, and Advancement & Alumni Engagement, to support communication, improve understanding of financial aid processes, and ensure efficient operations.


  • Support the Assistant Dean of Student Services in developing and maintaining a comprehensive financial literacy program, including financial aid workshops, student loan debt seminars, and interdepartmental training initiatives.


  • Collaborate with the Assistant Director of Student Services Operations to enhance and automate financial aid processes and maximize the use of Banner.


  • Maintain strict quality control standards to ensure compliance with federal and state regulations, minimize financial risk, and ensure accurate tracking of applications. Develop and manage systems for tracking required financial aid reporting.


  • Uphold a high level of confidentiality regarding all student information and adhere to the law school’s Customer Service Standards.


  • Comply with all aspects of the law school’s Customer Service Standards.

QUALIFICATIONS

Must be professional and confidential of all department data and correspondence. The person must have a poised and professional image; strong ability to multi-task and prioritize in a fast-paced environment, excellent interpersonal skills and the ability to interact effectively and efficiently with all employees, visitors and students while projecting a positive image for the area and law school. Service oriented with ability to make all visitors feel welcome. Must be computer literate with proficiency in MS Office applications (Word, Excel and PowerPoint) with ability to learn new programs as necessary. Must be detail-oriented and able to work in a fast-paced multi-tasking environment.


Three or more years of progressively responsible program management experience in a higher education environment with significant experience in delivering student financial services.



EDUCATION and/or EXPERIENCE

Bachelor’s degree from an accredited college or university and a minimum of three years of progressive responsibility in a higher education environment with significant experience in student financial aid. Strong knowledge of the Banner system preferred.


LANGUAGE SKILLS

Proficient in both spoken and written English. Ability to interpret and explain complex data. Ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, clients, and other employees of the organization.


MATHEMATICAL SKILLS

Ability to perform basic to intermediate math essential. Must possess the ability to analyze numerical data and detect patterns, errors and trends.



REASONING ABILITY

Ability to define routine problems, collect data, establish facts, and draw valid conclusions to solve routine problems and/or deal with a variety of variables in situations, especially when department head may be out of office or unavailable. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Ability to lift up to 20lbs. is required. Lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Extremely fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the law school (9:00 a.m. to 5:30 p.m.) plus late evenings during final exams. Additionally, the role requires a minimum of 23 days per year (administering final exams) working extended shifts, ranging from 8:00 a.m. to as late as 11:00 p.m.
