Overview
The Business Process Analyst is responsible for monitoring, improving, and maintaining the health of business processes across DSS Inc., with primary responsibility for the processes that govern the software development lifecycle. This role ensures that SDLC processes, and the broader operational processes that connect to them, are well-defined, consistently followed, current, and performing effectively.
The Business Process Analyst applies DMAIC methodology and Six Sigma principles to drive structured, data-informed process improvement. This role operates with a high degree of autonomy, managing an assigned process portfolio with minimal supervision and escalating issues using sound professional judgment.
This role brings expertise and independent judgment to every engagement, actively listening to problems, developing well-reasoned solutions, and leading improvement efforts with confidence. The Business Process Analyst is expected to recommend best-practice solutions grounded in experience and training, and to advocate clearly for improvements that serve the organization's best interests.
Work product is high-visibility and cross-functional, with regular engagement at the VP and C-suite level. This requires exceptional attention to detail, polished professional communication, and the ability to build and maintain credibility across all levels of the organization. The Business Process Analyst works primarily within DSS Inc.'s Atlassian environment and leverages AI-powered tools to enhance the quality and efficiency of process work.
Local Candidate Only: This is a hybrid opportunity and must be able to come to the North Palm Beach, Florida office 3 days a week.

The Business Process Analyst will:
Process Health and Stewardship
Monitor the health and performance of assigned processes on an ongoing basis, acting as the accountable steward of process effectiveness on behalf of process owners.
Define, track, and report on KPIs for assigned processes, providing regular performance updates to process owners.
Analyze performance trends to identify early indicators of degradation, inefficiency, or risk and proactively initiate corrective action without waiting to be directed.
Ensure assigned processes remain current and accurately documented by managing a regular review cycle that incorporates changes driven by methodology updates, tooling changes, or organizational shifts.
Facilitate conversations with senior leadership to prioritize process improvement work and ensure alignment with organizational objectives.
Provide monthly progress reports to senior leadership on process health and improvement initiative status.
Process Improvement Leadership
Lead process improvement efforts using DMAIC methodology from problem identification through implementation and sustainment.
Actively listen to and investigate problems raised by stakeholders, translating them into clearly defined improvement opportunities.
Develop well-reasoned, data-supported recommendations grounded in Six Sigma principles and process engineering best practices.
Present recommendations confidently, drawing on experience and training to guide process owners toward solutions that serve the organization's best interests.
Respect process owner authority and final decision-making while ensuring they have the expert perspective needed to make informed choices.
Lead working sessions, workshops, and improvement efforts from initiation through completion.
Drive adoption of process changes through active change management, ensuring improvements are understood, embraced, and sustained by affected teams.
Task and Action Item Follow-Through
Proactively follow up with task and action item owners to monitor progress and help ensure timely completion, using Jira as the primary tracking tool.
Maintain visibility into open action items across improvement initiatives, identifying and addressing delays that could impede progress.
Keep stakeholders and leadership informed of action item status as part of regular progress reporting.
Escalate stalled or at-risk items promptly to keep improvement efforts on track.
Process Intake and Stakeholder Engagement
Identify process improvement opportunities through direct observation, performance data, and proactive stakeholder engagement.
Receive and triage incoming process requests from multiple channels including Jira service desk, Microsoft Teams, email, and direct stakeholder communication.
Maintain a prioritized process work queue, regularly aligning with senior leadership on priorities and organizational needs.
Build and maintain trusted working relationships with stakeholders at all levels of the organization.
Navigate competing stakeholder interests with professionalism, maintaining credibility and objectivity across the organization.
SDLC and Agile Framework Support
Ensure SDLC processes spanning requirements, development, testing, release, and support are healthy, well-documented, and consistently followed.
Partner with development, QA, product, and release teams to identify and resolve gaps or breakdowns in lifecycle workflows.
Support the consistent application of Agile frameworks (Scrum, Kanban, SAFe, or equivalent) across development teams.
Document and maintain process standards for sprint ceremonies, backlog management, release planning, and retrospectives.
Ensure processes support compliance, quality standards, and auditability requirements.
Broader Process Portfolio
Maintain and improve operational and business processes beyond the SDLC that support or connect to development workflows.
Identify interdependencies between SDLC and non-SDLC processes and ensure alignment across the process landscape.
Prioritize and manage a process work queue, balancing SDLC responsibilities against other assignments.
Process Documentation and Atlassian Administration
Develop and maintain process maps, SOPs, work instructions, and reference guides using Confluence as the primary documentation platform.
Organize and structure Confluence spaces to ensure documentation is logical, navigable, and accessible to intended audiences.
Use Jira to track process change requests, action items, and improvement initiatives, maintaining accurate and up-to-date ticket status throughout.
Leverage AI-assisted tools to improve drafting speed, consistency, and documentation quality.
Write clearly and precisely for varied audiences, including developers, QA engineers, project managers, and executive leadership, with a consistent professional tone.
Training and Knowledge Transfer
Develop and deliver process training for new and revised processes, tailoring content and format to the intended audience.
Ensure affected stakeholders have the knowledge and resources needed to follow and sustain process changes.
Maintain training materials in alignment with current process documentation.
Meeting Facilitation and Notes Publication
Plan, facilitate, and drive process-related meetings and working sessions, ensuring clear agendas, focused discussion, and actionable outcomes.
Manage transcription and produce AI-assisted meeting notes, reviewing and editing for accuracy and professional tone prior to distribution.
Maintain a consistent communication cadence with stakeholders and leadership through structured updates, status reports, and meeting touchpoints.
Ensure action items are logged in Jira and assigned appropriately following each meeting.
Other Duties:
Manage day-to-day individual workload, monitor milestones and critical dates.
Promote teamwork and knowledge sharing in pursuit of effective problem solving.
Travel up to 10% per year in support of assigned projects and as directed by their manager.
Security and Privacy Responsibilities:
Individuals working for DSS or any Subsidiary will be subject to security and privacy requirements as explained in HIPAA, FedRAMP, and NIST 800-53. Additionally, they are required to undergo specific FedRAMP training to ensure compliance with all associated controls and responsibilities in the day-to-day performance of their duties. Individuals working in departments that are considered to be in the high-risk category will be required to undergo advanced training based on their role and level of access. Individuals with access to modify data and the configuration baseline will require further training.

Education:
Required: Undergraduate degree

Experience with Agile frameworks (Scrum, Kanban, SAFe, or equivalent) required.
Experience working in Confluence as a documentation platform required; administration experience strongly preferred.

Experience developing and delivering process training required.
Preferred:
