Summary: Under the supervision of the Executive Director, performs duties related to providing administrative assistance to all departments on a case-by-case basis. Supports the Corporate Compliance Program and the Code of Ethical Conduct, promoting the mission and values of Martha Jefferson House both internally and within the community.
Essential Functions:
- Duties are interchangeable based on need.
- Provide support to the front desk, assisting with daily operations and greeting guests.
- Assists Human Resources with administrative duties, including file audits, bulletin boards, data entry, newsletter, and other administrative tasks as assigned.
- Assists Business Office and Finance with administrative duties, including filing, data entry, audits, and other administrative tasks as assigned.
- Assists the CEO and applicable directors with special projects.
- Performs scribe duties for particular meetings
- Collaborates with all departments on projects
- Performs any duties assigned by the CEO that contribute to the efficiency, image, and visibility of the greater Charlottesville community.
- Promotes a positive environment for residents and staff members.
- Attends meetings based on the needs of MJH
- Performs other work as required.
- Maintains training compliance through Relias
Required knowledge, skills, and abilities:
Education: High School Diploma or GED. CPR certified.
Job Knowledge: Knowledge and skill of meeting the special needs of the elderly and disabled persons; Must be capable of maintaining regular attendance. Must meet all local health regulations, including a criminal background investigation and reference inquiry. Experience in Microsoft Office applications and Apple devices. Experience in bookkeeping is a plus. Must be organized and able to work efficiently with minimal supervision. An editing background would be helpful.
Standards: Must have a genuine interest in the elderly. Patience and tact. Interested in learning and advancement; ability to work congenially with others. Respect for the principles of resident rights, confidentiality, EEO, and ADA. Must be able to move between multiple tasks concurrently and make decisions efficiently.
Supervisory Responsibilities: None.
Performance Requirements: Regular and reliable attendance; irregular hours when necessary; attending work-related meetings; completing on-line Relias training on time; attendance at all mandatory trainings-quarterly, at 6-months and annual. Handling confidential information; keyboarding/typing; computer knowledge; maintaining consistent effort through workday; meeting deadlines; operating equipment; staying organized; using math/performing calculations.
Mental Requirements: Thinking analytically; handling stressful situations; concentrating on tasks; effective written and verbal communication; examining/observing and remembering details; making decisions; adjusting to change. Ability to work as a collaborative team member.
