We are seeking an experienced, detail-oriented Automotive Warranty Administrator to support our service operations. This position is responsible for the accurate and timely processing of manufacturer warranty claims, maintaining required documentation, reconciling warranty receivables, and ensuring compliance with manufacturer policies and procedures.
The ideal candidate is highly organized, dependable, and comfortable managing multiple priorities in a fast-paced dealership environment.
Essential Responsibilities- Prepare, submit, and track manufacturer and distributor warranty claims accurately and within required timelines.
- Review repair orders and supporting documentation to ensure claims meet manufacturer requirements prior to submission.
- Monitor claim status and promptly research, correct, and resubmit rejected or returned claims.
- Reconcile warranty receivables and payments with applicable accounting schedules and identify outstanding or unresolved balances.
- Follow up on unpaid, underpaid, or outstanding warranty claims through resolution.
- Maintain accurate warranty records and documentation in accordance with manufacturer and dealership requirements.
- Monitor warranty parts retention requirements, including proper tagging, tracking, return, and authorized disposal of parts.
- Coordinate the shipment of requested warranty parts to manufacturers or distributors.
- Stay current on manufacturer warranty policies, procedures, recalls, campaigns, and service bulletins.
- Assist with body shop or other warranty-related claims as needed.
- Work collaboratively with Service, Parts, and Accounting personnel to resolve warranty questions or discrepancies.
- Provide administrative and clerical support to Fixed Operations as needed.
- Maintain confidentiality and a professional, organized work environment.
- Perform other related duties as assigned.
- Automotive dealership warranty administration experience strongly preferred.
- Strong attention to detail, accuracy, and organizational skills.
- Ability to understand and consistently apply manufacturer warranty policies and procedures.
- Strong follow-up, problem-solving, and time-management skills.
- Ability to prioritize multiple responsibilities and meet established submission deadlines.
- Effective written and verbal communication skills.
- Ability to work independently while collaborating effectively with Service, Parts, and Accounting teams.
- Comfortable working in a fast-paced dealership environment.
- Proficiency with dealership computer systems and general office technology; Microsoft Office experience.
- Professional demeanor and dependable work habits.
