Job Description

Talent Management Assistant

Under the direction of the Director of Talent Management and according to established policies and procedures, this position contributes to the completion of Talent Management objectives by assisting team members with routine administrative tasks. The Talent Management Assistant provides essential operational and technical support to the Talent Management department. This position is responsible for key processes such as: lifecycle management of employee records, the employee transfer process, gathering of employee feedback, etc. Strives for superior performance by consistently providing a product or service to leadership and staff that is recognized as ultimately contributing to the patient and family experience. Recognizes and demonstrates understanding of patient and family centered care.

JOB RELATIONSHIPS

Responsible To: Director of Talent Management

Workers Supervised: None

Inter-Relationships: Management, staff, volunteers, internal and external customers

PRIMARY JOB RESPONSIBILITIES

  1. Records Management.
    1. Maintain the Filing Room by scanning, organizing, and transporting files to storage.
    2. Route ongoing employee documents and checklists to appropriate employee file in HRIS system.
    3. Update new hire employee files by ensuring documentation of credentials, scanning into system, and uploading.
    4. Aid in the transition to electronic record systems, ensuring all documentation is finalized in our HRIS system.
    5. Conduct routine audits of employee files, including I-9 audits and fingerprinting records, to ensure documentation remains current.
    6. Manage provider contracts, scanning updated agreements and auditing files for complete provider information.
  2. Oversee the transfer process for Memorial Healthcare.
    1. Assist as needed in facilitating the transfer between the departments by ensuring a transfer is successful.
    2. Validate the candidate has the appropriate license and it is verified through primary source, fingerprinted, if needed, training is scheduled, etc.
    3. Ensure that the job description is signed by the employee for the new position.
  3. Oversee the 30-day review process, conducting initial outreach via phone and facilitating check-in conversations regarding 60 and 90-day expectations.
  4. Manage exit interviews, including logging terminations, reviewing Talent Management notifications, and conducting 15-minute interviews to document feedback.
  5. Process departmental checklists, ensuring paper documentation is scanned, filed, and audited to meet Joint Commission standards.
  6. Perform Primary Source Checks by verifying appropriate sources and updating expiration dates in HRIS system.
  7. Coordinate contracted employee documentation between Employee Health and Recruitment, recording approved results in the master spreadsheet.
  8. Own the employee referral program through reviewing all referrals that come in, verifying, and contacting employee upon successful start of referred candidate.
  9. Oversee supply orders, including office inventory, orientation supplies, and the coordination of 90-day stay gifts.
  10. Assist with coverage for recruiting and employee engagement activities as needed due to PTO, job fairs, sickness, etc. To include application review, applicant sourcing, event support, etc.
  11. Other duties and special projects as assigned.

DEPARTMENTAL AND ADDITIONAL JOB RESPONSIBILITIES

  1. Work closely with all functions of Talent Management to provide support with various research projects and/or special projects.
  2. Provide departmental support by answering employee questions, assist during open enrollment, fill in for other team members, etc.

JOB SPECIFICATIONS

EDUCATION

  1. High school diploma or GED required.
  2. Associates degree in human resources, business, or associated field highly preferred or equivalent experience in the human resources field highly preferred.

EXPERIENCE

  1. A minimum of one year of human resources experience or working within an office setting is required.
  2. Healthcare experience is highly preferred.
  3. Customer service experience is required.
  4. Excellent oral and written communications skills are required.
  5. Proficiency with Microsoft Office applications (i.e. Word, Excel) required. Familiarity with the Google Workplace suite of apps is helpful.
  6. Knowledge of commonly-used concepts, practices, and procedures within human resources.
