Job Title: Supv, Business Office
Department: Hospital and LTC Billing
Location: Riedman Campus, 100 Kings Highway, Rochester NY 14617
Hours Per Week: 40
Schedule: Full-Time, Dayshift, Monday to Friday, (7.00 am - 4:00 pm)

Position Summary:

The Business Office Supervisor will supervise the business office and financial counseling staff including scheduling, coaching, counseling, etc. to assure proper data flow, appropriate resource utilization. Oversees the resolution of all customer service issues generated by patients, families, payers, and internal departments. Ensures that staff members develop and maintain a thorough knowledge of the business office and financial counseling process and billing system and follow departmental and hospital policies and procedures.
Central Scheduling: analyzes work and volume to adjust staffing and workflow to meet the department’s needs and goals. Maintain daily and monthly departmental statistics and trending. Must maintain a complete understanding of those departments that Central Scheduling serves.

Key Responsibilities:

  • Plans, organizes, assigns, and supervises the day-to-day operations and facilitates the workflow of the team. Orients, trains, coaches, and evaluates team members to ensure a competent and productive work force.

  • Schedules and maintains adequate staffing coverage to ensure operational demands are met.

  • Monitors the process of data flow through business office, financial counseling, and/or central scheduling functionality.

  • Ensures compliance with all departmental, organizational and regulatory standards and policies.

  • Resolves complaints in a timely manner using good judgment.

  • Contributes effectively to the budget process by helping to identify potential variances.

  • Recommends Human Resource actions and pay decisions for direct reports.

  • Central Scheduling:

  • Performs call quality assurance through call recording review and real time monitoring in order to ensure high customer service standards and safe handling of calls.

  • Performs other duties as assigned.


Minimum Qualifications:

  • Associate’s degree or equivalent preferred.

  • Two years related work experience in healthcare setting or customer service setting required.

  • Two years of prior supervisory experience preferred.

  • Knowledge of medical terminology and procedures.

  • Excellent customer service and communication skills required.

  • Central Scheduling Only:

  • Three years previous medical office or call center experience preferred.

  • Experience with Microsoft Excel.

  • Bilingual preferred.

PHYSICAL REQUIREMENTS: Sedentary - Sedentary roles are primarily office-based and require prolonged sitting (67–100% of the workday) with minimal physical effort and lifting limited to under 10 lbs. Fine motor skills are necessary for computer work, writing, and telephone use, supported by clear visual and auditory ability. Cognitive and emotional demands are high due to extended concentration, frequent interruptions, independent decision-making, and information processing. Although physical exposure is low, administrative areas within healthcare environments may occasionally involve contact with infectious agents. Some roles may require flexible hours, TB screening, or a valid driver’s license.

PAY RANGE: $62,400.00 - $70,000.00

The listed base pay range is a good faith representation of current potential base pay for successful applicants. It may be modified in the future. Pay is determined by factors including experience, clinical licensure date, relevant qualifications, specialty, internal equity, location, and contracts.
