IT Asset Management Coordinator

Reports to: Sr. Drector Infrmation Technology

Position Summary

The IT Asset Manager Coordinator is responsible for tracking, managing, and optimizing the lifecycle of IT assets including hardware, software, licenses, and related equipment. This role ensures accurate inventory control, compliance with licensing agreements, and cost-effective asset utilization across the organization.

Essential Functions and Responsibilities Includes the Following:

  • Understands and adheres to the WPH Performance Standards, Policies and Behaviors.
  • Asset Lifecycle Management
    • Maintain accurate inventory of IT hardware and software assets.
    • Track assets from procurement through deployment, maintenance, and disposal.
    • Coordinate asset tagging, labeling, and documentation.
    • Monitor asset warranties, leases, and service contracts.
  • Inventory & Compliance
    • Conduct regular asset audits and reconciliation.
    • Ensure compliance with software licensing agreements and vendor contracts.
    • Maintain records in IT asset management systems in Service Now.
    • Generate compliance and inventory reports as required.
  • Procurement & Vendor Coordination
    • Assist with procurement of IT equipment and software.
    • Coordinate with vendors for purchasing, returns, replacements, and renewals.
    • Track purchase orders and maintain procurement documentation.
  • Support & Collaboration
    • Work closely with IT support teams to manage equipment allocation and recovery.
    • Coordinate onboarding/offboarding equipment distribution and retrieval.
    • Provide asset data to Finance and IT leadership for budgeting and forecasting.
  • Performs all other related duties as assigned

Education & Experience Requirements

  • Associate required: Bachelor’s degree preferred.
  • One to three years’ Inventory management experience
  • Strong knowledge Desktop Computing
  • Ability to conduct research and evaluate the ongoing changes in technology and continued evaluation of best practices in support of Asset Management Services
  • Ability to plan and develop time and cost estimates for projects.
  • Capable of functioning in a dynamic environment subject to impromptu changes in schedules and priorities

  • Strong understanding of hardware and software asset lifecycles, licensing, and procurement processes.
  • Ability to work cross-functionally with technical and non-technical teams.

Physical/Mental Demands/Requirements & Work Environment

  • May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found at the hospital switchboard, saved on a disc.
  • Must be able to move throughout the hospital as well as travel (drive) to remote hospital sites.
  • Must frequently use a computer and other office and telecommunication equipment
  • Occasionally, ascend/descend a ladder to install, repair, and inspect ceiling-mounted equipment.
  • Frequently positions self to work on data racks, network jacks, fax machines, and nurse call equipment.
  • This person will frequently need to communicate and exchange information with colleagues during the course of routine days and specific networking projects.
  • Must be able to identify and make determinations about specific network and telecommunications equipment.
  • Must be able to move objects up to fifty pounds.
