Your Opportunity

The Administration Assistant reports to the Administration Team Leader. As an Administration Assistant you will be responsible for delivering efficient support services for the Cairns Base Operations and all of its functions & support services, as required.

Annual Salary from AUD$65,000 - $70,000 + Super

Your Responsibilities

  • Manage end-to-end Aircraft (MRO) and Avionics Aircraft Service Requests (ASR), ensuring compliance, accuracy, timely processing, and complete record-keeping to meet audit and commercial requirements.
  • Administer financial and commercial functions, including reviewing and approving subcontractor, freight, and project-related invoices, ensuring appropriate cost allocation and adherence to established procedures and contractual terms.
  • Provide day-to-day project and administrative support across Cairns Base operations, including documentation, reporting, meeting coordination, and workflow management.
  • Maintain and update project, operational, and procedural registers to support accurate reporting, governance, and alignment with approved processes and best practices.
  • Coordinate cross-functional project administration activities, supporting management and stakeholders in planning, governance, and delivery of enterprise-critical initiatives across Administration, Avionics, and Supply Chain functions.
  • Support senior management through the preparation of reports, dashboards, and business documentation, including tracking actions and outcomes to inform decision-making and project delivery.
  • Co-ordinate cross-functional communication and information flow between Finance, Accounts Payable, Credit Control, Avionics, PMO and external stakeholders, while supporting procurement activities and processes.
  • Contribute to procurement governance and process standardisation through research, documentation, and development of supporting frameworks and procedures.
  • Ensure administrative and project activities comply with company policies and WHS, Environmental, and Quality systems, including adherence to approved Local Area Procedures (LAP).
  • Collaborate with the Administration Manager to support training and development initiatives, providing ongoing coaching, feedback, and procedural guidance to administration staff.
  • Support employee conduct and performance management through documentation of behavioural matters and escalation to the Administration Manager and HR in accordance with company procedures.
  • Promote staff engagement and quality outcomes through adherence to company policies, procedures, and systems, while actively contributing to WHS and Environmental programs to support safe, compliant, and sustainable work practices.
  • Participate in Business Improvement Team (BIT) activities, contributing to continuous improvement initiatives across administrative and operational functions.
  • Support cost-effective utilisation of resources to ensure administrative and project deliverables are achieved within required timeframes and operational targets.
  • Maintain current knowledge of company policies, procedures, and WHS/Environmental requirements, supporting the consistent application of workplace best practices.
