Job Description

We are seeking a highly organized and customer-oriented Group Travel Coordinator to support the planning, coordination, and execution of group travel operations and tourism events. This role is responsible for managing reservations, quotations, documentation, cruise line coordination, supplier communication, and related administrative and financial processes.

The ideal candidate will provide continuous support to travel consultants and passengers while ensuring smooth communication, itinerary accuracy, operational efficiency, and exceptional service standards.

Essential Duties & Responsibilities
  • Request, review, and validate quotations, contracts, and invoices for group travel services and events.
  • Create, manage, and follow up on group reservations, room blocks, and authorized rates.
  • Coordinate group bookings with cruise lines, including companion reservations and group excursions.
  • Assist with deposit payments, schedule key deadlines, and manage collections and supplier payments while ensuring proper financial reconciliation.
  • Maintain operational documentation, group departure inventories, passenger lists, and promotional materials.
  • Coordinate special cruise events such as weddings, graduations, and other group celebrations, ensuring accurate quotations and successful execution.
  • Respond to consultant inquiries, manage daily email communications, and support group leaders with passenger communication.
  • Assist with passenger contingency situations at destination by coordinating solutions with suppliers and service providers.
  • Prepare and coordinate informational meetings, invitations, attendance confirmations, and post-meeting follow-up.
  • Prepare excursion descriptions, process payments, update CTOs, and coordinate special services requests.
  • Verify seat assignments and prepare complete travel itineraries and travel agendas for passengers.
Qualifications
  • Proficiency in Microsoft Office, especially Excel.
  • English proficiency for reading and drafting emails with international suppliers and partners.
  • Strong organizational skills, attention to detail, and follow-through.
  • Customer service oriented with excellent interpersonal skills.
  • Ability to manage multiple priorities and work effectively in a team environment.
  • Professional communication skills, proactive mindset, sense of urgency, and willingness to learn.
Compensation & Schedule
  • Hourly Rate: $12.76
  • Schedule: Monday to Friday | 9:00 a.m. – 5:30 p.m.
