As we continue to grow rapidly and expand our national presence, we seek a Marketing and Events Manager to elevate our brand visibility, event strategy, outreach initiatives, and customer engagement nationwide.

The Role:

The core mission of the Marketing and Events Manager is to plan, develop, manage, and execute high-impact internal and external events while serving as a strategic contributor to the Marketing team. This role plays a critical part in strengthening ZP’s brand visibility, creative direction, customer engagement, and community relationships across national markets.

The Marketing and Events Manager will oversee events from concept through completion, including strategy development, budgeting, logistics, vendor management, on-site execution, and post-event reporting. In addition to event leadership, this position will provide marketing support and creative insights related to brand initiatives, storytelling, campaign visibility, experiential marketing, and audience engagement.

The ideal candidate is highly organized, creative, collaborative, and proactive, with the ability to manage multiple projects simultaneously while supporting broader marketing and business objectives. This role requires strong communication skills, knowledge of Deaf culture and American Sign Language (ASL), and the ability to travel frequently to support events, conferences, outreach efforts, and strategic initiatives nationwide.

Marketing and Events Manager Job Responsibilities

Event Strategy & Planning:

• Develop and manage a comprehensive annual events calendar, including conferences, trade shows, community outreach events, webinars, internal meetings, and corporate functions.
• Lead the creative and strategic development of event concepts that align with ZP’s brand, mission, and business objectives.
• Design visually compelling event layouts, displays, décor concepts, and environmental branding that enhance attendee engagement and reflect ZP’s identity.
• Create detailed event planograms, floor diagrams, booth layouts, traffic-flow maps, and staging documents for sponsored events, activations, and large-scale engagements.
• Define event goals, target audiences, key messages, and success metrics for all events.
• Conduct research to identify optimal venues, event themes, industry trends, and opportunities for improved engagement.
• Develop project plans outlining timelines, deliverables, budgets, staffing requirements, and communication protocols.
• Manage pre-event briefings, run-of-show documents, event scripts, and all planning materials to ensure smooth execution.
• Ensure events are accessible, inclusive, and aligned with Deaf Culture best practices—including ASL access, interpreters, and visual communication safety.

Event Execution & Logistics:

• Oversee all logistical aspects of events, including venue coordination, catering, travel arrangements, shipping, booth logistics, and equipment needs.
• Translate planograms, diagrams, and visual layouts into fully executed physical environments, including branded signage, interactive displays, booth setups, and visual storytelling elements.
• Ensure all displays, exhibit structures, marketing materials, and décor pieces are produced correctly, shipped on time, and installed to specification.
• Lead vendor sourcing, negotiations, contracts, invoicing, and ongoing vendor relationships.
• Partner with internal teams to develop event branding, signage, promotional materials, and giveaway items.
• Manage guest registration processes, guest lists, ticketing platforms, and attendee communications.
• Oversee event staff schedules, briefing documents, assignments, and on-site management.
• Serve as the on-site lead for all major events to ensure flawless execution and rapid problem-solving.
• Coordinate technical needs, including A/V equipment, presentation setups, livestreaming, and video/audio recording.
• Ensure all event areas meet accessibility requirements and support fully inclusive participation.

Cross-Functional Collaboration:

• Collaborate with internal stakeholders to design events that support brand awareness, customer acquisition, and community engagement goals.
• Support broader marketing initatives related to brand visibility, cerative strategy, audience engagement, and experiential marketing campaigns.
• Partner with the Sales team to provide event talking points, booth materials, scripts, and engagement toolkits.
• Collaborate with Sales and Marketing to ensure events support meaningful connections with Deaf,hard-of-hearing and hearing communities across the country.
• Provide clear and consistent communication to stakeholders on event progress, deadlines, needs, risks, and opportunities.
• Engage internal teams during events to support broader strategic initiatives and ensure internal alignment.

Event Reporting & Analytics:

• Track and manage event budgets, expenditures, and financial performance.
• Develop post-event reports summarizing attendance, engagement levels, lead-generation outcomes, KPIs, and ROI.
• Analyze event data to identify trends, improvements, and opportunities to strengthen future events.
• Collect and consolidate feedback from attendees, staff, and partners to improve the event experience.
• Present findings and recommendations to leadership with actionable insights.
• Maintain accurate documentation of event metrics, vendor performance, contracts, and planning notes.

Communications & Relationship Management:

• Serve as the primary point of contact for event partners, vendors, sponsors, and venue staff.
• Maintain professional relationships with external collaborators, including industry associations, community organizations, and university partners.
• Write and distribute communication materials such as event invitations, talking points, scripts, pre-event announcements, and post-event communications.
• Support PR-related activities and storytelling aligned with major events and milestones.
• Ensure consistent branding, messaging, and visual identity across all event materials and stakeholder touchpoints.

Events Planning Manager Qualifications/Skills:

• 3+ years of professional event planning, event management, or corporate events experience, preferably in a fast-paced, multi-location organization.
• Strong knowledge of Deaf Culture, communication accessibility, and American Sign Language (ASL)
• Proven experience planning and executing large-scale events, conferences, and community engagement activations.
• Strong project management, time management, and multitasking abilities.
• Exceptional communication skills, written, visual, and interpersonal.
• Experience managing event budgets, vendor contracts, and negotiation processes.
• Ability to manage logistics, travel planning, shipping coordination, and nationwide event rollouts.
• Ability to travel frequently nationwide, including evenings, weekends, and extended event schedules.
• Experience collaborating with Marketing teams on event promotion and brand alignment.
• Comfort working under pressure with tight deadlines and fast turnaround needs.
• Strong analytical and reporting capabilities, with the ability to measure event success and generate actionable insights.
• Ability to mentor, support, and guide event support staff and cross-functional partners.
• Bachelor’s Degree in Event Management, Marketing, Communications, Hospitality, Business, or related field preferred.

Work Environment

Employees may experience the following physical demands for extended periods:

• Sitting, standing, and walking (95–100%).
• Keyboarding (40–60%).
• Viewing computer monitors, videophones, and cell phones requiring close vision (40–60%).
• Lifting equipment, event materials, and other items up to 50 pounds.
• Position requires frequent nationwide travel (25 – 40% or more as business needs require), including evenings, weekends, conferences, trade shows, community events, and extended event hours.
