Job Description

POSITION SUMMARY:

The Maintenance Scheduler/Planner supports safe, reliable, and efficient plant operations by planning, prioritizing, and scheduling preventive, predictive, and corrective maintenance work. This position converts maintenance needs into executable work plans; coordinates labor, parts, tools, documentation, and production access; maintains accurate work-order and equipment records; and provides actionable data that improves equipment availability and reduces unplanned downtime. The position works closely with Maintenance, Production, Engineering, Purchasing, Stockroom, Safety, and other departments while supporting KSM's quality, delivery, cost, and continuous-improvement objectives.

ESSENTIAL FUNCTIONS:

  • Develop and maintain weekly, daily, shutdown, and long-range maintenance schedules based on equipment criticality, safety risk, production requirements, available labor, parts, and technical resources.
  • Plan preventive, predictive, and corrective maintenance work by defining job scope, sequence, estimated labor hours, required skills, parts, tools, permits, drawings, manuals, safety controls, and expected equipment downtime.
  • Review incoming work requests for completeness, urgency, and priority; clarify scope with requestors and route work for appropriate approval and scheduling.
  • Maintain the preventive maintenance program and coordinate PM frequencies and job plans using equipment history, manufacturer recommendations, inspection results, failure trends, and input from Maintenance and Engineering.
  • Create, update, close, and audit work orders in the computerized maintenance management system (CMMS); maintain accurate asset, bill-of-material, failure-code, labor, parts, and completion data.
  • Lead or facilitate maintenance scheduling meetings and communicate the approved schedule, equipment-release requirements, resource constraints, schedule changes, and work status to affected departments.
  • Coordinate with Production to obtain equipment access and minimize operational disruption while ensuring that critical maintenance is completed at the appropriate time.
  • Coordinate with Purchasing and Stockroom personnel to verify parts availability, identify long-lead items, support reorder decisions, and stage materials before scheduled work begins.
  • Monitor schedule compliance, planned-versus-unplanned work, PM completion, backlog age, downtime, repeat failures, emergency work, and other maintenance key performance indicators; prepare routine reports and recommend corrective action.
  • Maintain an organized, risk-based maintenance backlog; identify ready-to-schedule work and escalate safety, quality, production, or reliability concerns promptly.
  • Support root-cause analysis, reliability improvement, equipment modifications, capital projects, new-equipment installation, and maintenance standardization by providing records, trends, job-plan feedback, and follow-up actions.
  • Develop and continuously improve standard job plans, inspection routes, PM checklists, equipment documentation, and planning/scheduling procedures.
  • Confirm completed work orders contain meaningful completion notes, actual labor and parts, failure information, follow-up needs, and other required documentation before final closure.
  • Support contractor planning and coordination, including scope, scheduling, site access, safety requirements, purchase-order status, and completion documentation, in partnership with responsible KSM personnel.
  • Follow and promote all KSM safety, environmental, quality, housekeeping, security, and work rules, including applicable lockout/tagout and permit requirements.

PLANNING AND SCHEDULING AUTHORITY:

  • Recommends maintenance work priorities and schedules based on established business, safety, quality, and equipment-criticality criteria.
  • Coordinates the assignment and timing of planned work through the Maintenance Manager or designated maintenance leadership.
  • Does not independently alter production commitments, authorize unbudgeted expenditures, or administer employee discipline unless separately delegated in writing.

POSITION QUALIFICATIONS:

  • Associate degree, technical diploma, apprenticeship, or recognized certification in industrial maintenance, engineering technology, reliability, or a related field.
  • Five or more years of manufacturing maintenance experience, including planning and scheduling responsibilities.
  • Experience in automotive or high-volume manufacturing and with TPM, lean manufacturing, predictive maintenance, or reliability-centered maintenance.
  • Experience tracking maintenance KPIs and using data to improve PM effectiveness, backlog health, equipment uptime, and schedule compliance.
  • CMRP, MMP, CRL, or comparable maintenance/reliability credential.
