POSITION TITLE: Purchasing Coordinator

CLASSIFICATION: Non-exempt
POSITION REPORTS TO: Maintenance Manager

POSITION PURPOSE: The role of the Purchasing Coordinator is to improve work force productivity and quality by anticipating and eliminating potential delays through planning and coordination of maintenance resources, parts, materials, and equipment access. This includes scheduling/planning resources for day-to-day maintenance and scheduled plant turnarounds.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

· Improves maintenance effectiveness by eliminating delays and obstacles through proper ordering of spare parts, materials, equipment, and services as identified by maintenance manager or critical parts list

· Create purchase orders for ordered parts and services

· Inspect received orders for accuracy and then receive purchase order with correct items and quantity

· Work with suppliers - Maintain an adequate spare parts inventory, generate purchase orders, receive, stock, set-up new items and perform cycle counts

· Negotiate best prices and lead-time for materials and supplies. Work with suppliers for proper sales and use tax charges

· Work with accounting to create accurate month end accruals so expenses are recorded in the correct month

· Manage parts to insure accurate, complete, and organized inventory

· Data entry/log keeping in multiple Excel databases for tracking of metrics

· Identify parts that will need to be repaired and returned to the Hereford warehouse on a monthly basis.

· Put parts away, keep parts organized, change location for inventory in the system and reprint labels as needed

· Forecast monthly expenditures

· Provides technical documentation, as needed.

· Tracking of work status, need materials, and deadlines.

· Verify accuracy and completeness of all documentation and records generated or used by Maintenance.

· Work effectively with other plant facility to coordinate the shipment and receipt of plant assets & parts

· Track inventory transfers between both plants. Create and submit Transfer Report for month end for both plants

· Promotes a safe work environment and safe work practices

· Safely operate forklift and other rolling stock as needed

· Any and all assignments as directed by the Maintenance Manager

QUALIFICATIONS

EDUCATION/CERTIFICATION:

Technical or associate's degree preferred. Valid Class C driver’s license minimum.

REQUIRED KNOWLEDGE

& EXPERIENCE/SKILLS & ABILITIES:

Experience in maintaining parts inventory or accounting skills. Ability to interpret technical manuals, equipment drawings, and P&IDs. Experience with preventative maintenance software preferred. Strong knowledge of Microsoft Office Suite required. Knowledge of general office equipment required. Excellent written and verbal communication skills. Strong creative and organizational skills. Ability to interact professionally and effectively with internal and external customers. Ability to maintain good relationships with internal and external customers, use tact and diplomacy, and possess a customer service focus. Strong analytical abilities, problem solving skills, negotiation skills, dispute resolution, and ability to overcome obstacles. Manage multiple priorities with efficiency and accuracy. Ability to anticipate needs and accomplish necessary tasks.

Strong motivational ability. Act with honesty and integrity.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

Sometime will be spent in a temperature-controlled office-based environment at the plant office. Ability to sit for long periods of time. Able to view computer screen for lengths at a time. May be exposed to loud noises, wet and humid conditions, fumes or airborne particles, toxic chemicals, extreme hot and cold depending on weather conditions. Must be able to climb ladders and work at elevations of 25 feet. Must be able to speak and listen clearly. Fine visual acuity to read for accuracy. Travel may be required as needed.

PHYSICAL STRENGTH: This job may require lifting of up to 50 pounds occasionally.
