Florida Utility Trailers is seeking a highly organized, customer-focused, and motivated Mobile Service Coordinator to support our growing mobile service operations. In this fast-paced role, you'll be at the center of the action, coordinating mobile technicians, scheduling on-site and roadside repairs, and ensuring customers receive timely, reliable service.

The ideal candidate is a proactive problem-solver who thrives in a dynamic environment, enjoys working with customers and technicians, and can confidently juggle multiple priorities while maintaining accuracy and attention to detail.

If you're passionate about customer service, enjoy coordinating moving parts, and want to be part of an established, team-oriented company in the transportation industry, we encourage you to apply!

Essential Functions

· Coordinate daily mobile service schedules, appointments, and technician dispatch to support timely on-site and roadside service delivery

· Gather detailed information from inbound calls, emails, and messages regarding refrigeration issues, trailer repair needs, equipment location, urgency, and service history

· Prioritize emergency breakdowns, scheduled maintenance, inspections, and repair requests based on technician skill, location, availability, and service commitments

· Optimize technician routes and daily workload to improve response times, technician utilization, and customer service coverage

· Create, update, and close work orders in the service management system, maintaining accurate real-time job status and follow-up records

· Prepare or coordinate preliminary and formal repair estimates, communicate pricing and service options, and secure customer authorization before work begins

· Communicate clearly with customers regarding appointment timing, delays, repair findings, scope changes, and completion status

· Coordinate parts and materials by checking availability, placing orders, arranging delivery to technicians or job sites, and tracking backorders

· Collaborate with service managers, technicians, and parts teams to resolve issues, escalate complex service needs, and maintain accurate documentation including notes, photos, labor, and parts usage

· Support preventive maintenance scheduling and inspection programs based on service intervals, manufacturer guidance, mileage, unit hours, or customer agreements

· Assist with invoicing preparation, warranty-related documentation, service reporting, and maintenance of customer and equipment records

· Support after-hours or rotating on-call coordination for urgent reefer failures or trailer breakdowns as needed

Required Skills/Abilities

· Ability to make practical decisions quickly while managing a high volume of changing priorities and urgent service needs

· Strong follow-through and comfort working in a structured environment with defined procedures, documentation requirements, and service standards

· Clear communication skills for coordinating with customers, technicians, service managers, and parts teams

· Ability to explain repair options, pricing, timelines, and service updates in a clear and customer-friendly manner

· Attention to documentation quality, record accuracy, estimate detail, and process compliance

· Comfort using dispatch systems, scheduling tools, service software, and operational workflows to keep work moving efficiently

· Ability to stay focused and effective in a fast-moving service setting with multiple active jobs and shifting timelines

· Working knowledge of field service, mechanical repair, transportation maintenance, or related service operations

Requirements:

Preferred Skills/Abilities

· High school diploma or equivalent required; additional technical or business training preferred

· 1–3+ years of experience in service coordination, dispatching, customer service, estimating, or administrative support in a field-service, transportation, fleet, trailer repair, HVAC/R, or mechanical service environment

· Proficiency with computers, Microsoft Office, and field-service or dispatch software; experience with systems such as Excede, Karmak, or similar platforms is a plus

· Valid driver’s license and clean driving record; occasional local travel or vehicle use may be required

· Prior experience with transport refrigeration, trailer service and repairs, heavy-duty truck or trailer maintenance, or commercial HVAC/R is preferred

· Familiarity with major transport refrigeration brands and a practical understanding of refrigeration systems, electrical diagnostics, diesel engines, or trailer systems is preferred
