Job Description
Bob's Backflow is seeking a Administrator to join our team. This role is responsible for following up on customer proposals, supporting accounts receivable collections efforts, and providing administrative support to improve operational efficiency and customer service. The ideal candidate is organized, customer-focused, detail-oriented, and comfortable communicating with customers by phone and email.
Proposal Follow-Up & Sales Support
- Contact customers regarding outstanding proposals and estimates.
- Follow up on open quotes via phone and email.
- Answer customer questions and coordinate with operations staff as needed.
- Document customer communications and status updates in company systems.
- Generate reports on outstanding proposals and follow-up activity.
Collections & Accounts Receivable Support
- Contact customers regarding past-due balances.
- Process customer payments and assist with approved payment arrangements.
- Maintain collection notes and account records.
- Escalate unresolved collection issues to management.
- Assist with accounts receivable aging reports and collection tracking.
- Support efforts to reduce outstanding receivables and improve cash flow.
Administrative Support
- Maintain customer files and documentation.
- Assist with data entry, reporting, and recordkeeping.
- Support scheduling and coordination activities as needed.
- Monitor and respond to customer inquiries.
- Assist with special projects and other duties as assigned.
Required
- High school diploma or GED required.
- 2+ years of customer service, administrative support, collections, bookkeeping, or office coordination experience preferred.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office applications.
Preferred
- Experience in plumbing, HVAC, home services, or construction industries.
- Experience with QuickBooks or similar field service software.
- Collections or accounts receivable experience.
- Strong attention to detail and follow-through.
- Ability to work independently and collaboratively.
- Strong customer service and communication skills.
- Professionalism and sound decision-making skills.
