Finance & CTMS Systems Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Finance & CTMS Systems Specialist based in India.

This role combines financial expertise, data analysis, and systems management within a clinical trial environment. You’ll work with complex historical financial and operational data, ensuring it is accurately reconciled and represented within a Clinical Trial Management System (CTMS). The position offers the opportunity to contribute to data migrations, system configuration, financial reconciliation, and process improvement. You’ll investigate discrepancies, map structured datasets, and establish reliable workflows for ongoing operations. While clinical research knowledge is helpful, the role is designed for professionals who bring strong finance, analytical, and systems capabilities. This is a remote opportunity requiring alignment with U.S. working hours across PST, EST, or CST time zones.

Accountabilities
  • Reconcile historical sponsor payments with corresponding CTMS activities, patient visits, budgets, and financial records, investigating discrepancies and ensuring accurate financial representation.
  • Recreate fixed-budget invoices within the CTMS using historical financial and study information.
  • Support ongoing payment, invoicing, accounts receivable, and reconciliation activities as required.
  • Prepare and import patient accounts, trial builds, and historical patient visit activity into the CTMS.
  • Assist with configuring and fine-tuning trial settings while ensuring imported records are correctly associated with patients and study structures.
  • Perform data mapping, validation, quality checks, and troubleshooting before and after system imports.
  • Analyze large or incomplete historical datasets to determine how information should be mapped and identify missing, duplicate, or inconsistent records.
  • Maintain data integrity across CTMS records and ensure imported information accurately reflects source documentation.
  • Document mapping decisions, exceptions, reconciliation methods, and processes to create repeatable workflows.
  • Escalate complex discrepancies requiring additional financial, operational, or clinical input.
  • Take ownership of increasingly complex finance and data assignments while reducing the need for manual oversight.
  • Establish and improve repeatable processes for future CTMS financial reconciliation, data migration, and quality-control activities.
Requirements
  • Professional experience in finance, accounting, bookkeeping, financial operations, or a closely related field.
  • Strong experience working with structured datasets and business systems, with the ability to understand relationships between transactions, records, and operational activities.
  • Demonstrated experience performing financial reconciliations, investigating discrepancies, and validating financial records.
  • Strong Excel skills and confidence manipulating, analyzing, reconciling, and validating data.
  • High level of accuracy and attention to detail, particularly when working with complex or incomplete historical information.
  • Strong analytical and problem-solving abilities, with a naturally investigative approach to identifying patterns, inconsistencies, and root causes.
  • Ability to learn unfamiliar software platforms, terminology, and workflows quickly.
  • Comfortable working independently on complex assignments without relying on highly prescriptive instructions.
  • Strong organizational skills and the ability to manage multiple data and reconciliation activities while maintaining quality and deadlines.
  • Experience with CTMS, clinical research technology, healthcare systems, ERP/accounting platforms, or other complex operational systems is advantageous.
  • Experience with data imports, mapping, migrations, system implementations, or historical data cleanup is a plus.
  • Experience with accounts receivable, invoicing, payment reconciliation, or revenue accounting is beneficial.
  • Familiarity with clinical research operations, sponsor payments, patient visits, or clinical trial budgets is desirable but not required.
  • Fluency in English and willingness to work according to PST, EST, or CST-aligned schedules.
