Education Analytics (EA) is a nonprofit organization that partners with states, school districts, and education organizations to improve student outcomes through data, analytics, and technology. We are looking for an Administrative Assistant to join our team and provide front-office and administrative support at our location in downtown Madison, Wisconsin. This is an on-site, hourly position working 30–32 hours per week, Monday through Friday, between 8:00 a.m. and 5:00 p.m. The specific schedule will be finalized in collaboration with the selected candidate. Starting pay is $25/hour, with the potential for a higher starting rate based on experience.

  • Ensure seamless front desk coverage during scheduled hours, serve as a welcoming and responsive point of contact for staff, visitors, vendors, and partners.
  • Perform day-to-day front office administrative tasks, including answering and directing incoming calls and messages, handling mail and packages, supporting visitor access, monitoring the general email inbox, and managing organization-wide calendar invitations.
  • Maintain a safe and secure office environment by reinforcing established security practices and addressing or reporting concerns as needed.
  • Ensure a clean, organized, well-stocked, and welcoming office environment.
  • Assist with office purchasing, expense tracking, inventory records, and vendor-related administrative tasks. Support Administrative Services team workflows and the Administrative Services Helpdesk by responding to staff requests and coordinating with team members as appropriate.
  • Help maintain Administrative Services documentation and resources, including the Knowledge Base and SharePoint, and support updates and process improvements as needed.
  • Assist with planning and executing organization-wide events and onsite activities, including scheduling, communications, catering, materials, and day-of support.
  • Participate in the onboarding of new employees by performing related tasks the Administrative Services team is responsible for overseeing (such as setting up office access, sending out communications, and other logistics).
  • Coordinate staff travel and conference logistics, such as booking travel, providing guidance on travel policies and procedures, managing individual and group conference registrations, and arranging hotel room blocks.
  • Provide logistical support to Team Leads when planning team retreats and social activities.
  • Establish and maintain positive working relationships with staff across the organization, visitors, vendors, and partners.

Qualifications

  • High school diploma or equivalent.
  • Bachelor’s degree, administrative degree, or certification preferred.
  • Minimum of two years’ experience providing administrative support or an equivalent combination of education and experience.
