Position Summary
The Medical Records Clerk is responsible for maintaining, organizing, and processing patient medical records to support efficient clinical operations and continuity of care. This role ensures records are accurate, accessible, and handled in accordance with privacy and compliance standards while providing timely support to clinical and administrative staff..
Responsibilities
- Sort, file, and maintain medical records, x-rays, and related documents according to established procedures
- Pull charts for scheduled patients, work-in visits, and provider requests
- Research lost or missing records and resolve issues promptly
- Assemble, repair, and purge patient records in accordance with retention guidelines
- Pick up and deliver patient records to designated areas as needed
- Answer telephone calls related to medical records and route inquiries appropriately
- Process requests for medical information while maintaining confidentiality
- Support clinical and administrative staff by ensuring timely access to patient charts and records
- Communicate professionally and courteously with patients, staff, and the public
- Maintain a clean and organized work area
- Complete required training and comply with OSHA, HIPAA, safety, and company policies
- Collaborate with team members to support department and organizational goals
Qualifications
Education & Experience
- High school diploma or GED required
- 1–2 years of medical office, records management, or related experience preferred
- Equivalent combination of education and experience may be considered
Knowledge, Skills & Abilities
- Knowledge of medical terminology and patient confidentiality requirements
- Ability to accurately sort and file records using alphabetic and numeric systems
- Strong organizational skills and attention to detail
- Effective verbal and written communication skills
- Proficiency with computers and standard office equipment
- Ability to manage multiple priorities in a fast-paced environment
- Professionalism and strong customer service skills
- Ability to work effectively with patients, staff, and providers
- Understanding of workplace safety and compliance expectations
