Job Summary:

The Facilities Coordinator provides day-to-day administrative and operational support for United Way of King County's building and workplace. Working closely with the Building Manager, this position coordinates building operations, maintenance, vendors, invoicing, along with workspace and facility’s needs.

The Facilities Coordinator serves as a primary point of contact for employees regarding routine facility needs, ensuring requests are addressed promptly and building services are organized, documented, and completed effectively. The position also provides a variety of services to teams and staff, including materials movement, office moves, installations, and organization of storage spaces.

This position is required to be on-site weekdays during business hours.

Compensation:

  • The hourly rate for this position ranges from $30.08 to $31.58.

Essential Duties:

Building Operations

  • Coordinate routine building operations and respond to day-to-day facilities needs.
  • Monitor building conditions and identify maintenance, safety, security, and cleanliness issues.
  • Submit, track, and follow up on maintenance and service requests.
  • Conduct routine inspections of common areas, offices, restrooms, kitchens, meeting spaces, and other facility areas.
  • Coordinate access to the building for vendors, contractors, and service providers.
  • Primary delivery contact and entrance management.
Office & Workplace Services

  • Coordinate employee requests related to workspaces, furniture, equipment, signage, and common areas.
  • Support office moves, workspace changes, new employee setups, and employee departures.
  • Maintain office supply areas and monitor inventory levels.
  • Order and replenish office, kitchen, restroom, and other facility supplies.
  • Help maintain an organized, welcoming, and functional office environment.
Building Security & Safety

  • Support emergency preparedness activities and building drills.
  • Immediately escalate safety or security concerns.
  • Assist with records of maintenance, contracts, inspections, and purchases.
  • Prepare routine facilities reports for the Building Manager.
Vendor & Contractor Coordination

  • Assist in with vendors and contractors for routine services and repairs.
  • Process facilities invoices and maintain purchasing documentation.
  • Assist with vendor contacts, contracts, warranties, and service records.
  • Escalate significant issues to the Building Manager.
Projects & Capital Improvements

  • Provide administrative and logistical support for facilities projects.
  • Coordinate schedules, communications, deliveries, and building access.
  • Assist with documentation for capital improvements and building assets.
Knowledge, Skills, and Abilities:

  • 2-4 years of experience in facilities coordination, office administration, customer service, property operations, or a related field.
  • Proven strong attention to detail and demonstrated ability to work independently and as a team member.
  • Ability to manage multiple priorities and respond to changing needs.
  • Strong communication and customer service skills.
  • Proficiency with Microsoft Office and standard workplace technology.
  • Ability to work effectively with vendors, contractors, employees, and leadership.
  • Experience with purchasing, paying invoices, budgets, and facilities systems preferred.
  • Demonstrated understanding of social and racial justice and equity, with a proven commitment to apply racial and economic justice lenses in both personal and workplace contexts.
  • Lived experience and/or demonstrated professional skills working within a diverse work environment.

Education and/or Experience:

High school diploma, or equivalent of 2-4 years of experience in facilities coordination, office administration, customer service, property operations, or a related field. Experience of partnering with staff, directing vendors and hired labor. Office administration background preferred.
