We are seeking a highly motivated, Billing Specialist to join our accounting team. This individual will play a critical role in maintaining accurate billing records, managing day-to-day communication with clients, performing client account reconciliations, and support month-end and year-end processes with Accounts Receivable. The ideal candidate is reliable, proactive, and solution-oriented—someone who jumps in without being asked, finds ways to improve processes, and supports the team with both knowledge and initiative.

This is a fast-paced, in-office role requiring strong time management, accuracy, and the ability to thrive in a collaborative environment.

This is a full-time, on-site position based in Orlando, Florida.

Responsibilities: Key Responsibilities:

Billing:

  • Generate, review, and issue accurate customer invoices in a timely manner
    • Verify and issue accurate customer invoices based on contracts, purchase orders, or service agreements
  • Process payments (credit card, ACH, check) and apply them correctly to customer accounts
  • Maintain accurate billing records and documentation for audit purposes

General Accounting:

  • Record and maintain accurate general ledger entries and account reconciliations related to billing.
  • Ensure timely and accurate financial reporting, including month-end, quarter-end, and year-end close activities.
  • Prepare AR aging reports, cash flow forecasts, and collections status reports for management.

Accounts Receivable:

  • Investigate and resolve billing disputes, short payments, or misapplied payments
  • Reconcile AR ledger/subledger with the general ledger; match payments to invoices
  • Identify uncollectible accounts and recommend write-offs or allowances for doubtful accounts

Process Improvement & Collaboration:

  • Work with sales, customer service, and legal teams on contract terms, disputes, or collections escalations
  • Collaborate cross-functionally to ensure accurate financial operations and reporting.
  • Identify and implement ways to reduce days sales outstanding (DSO) and improve collection efficiency
  • Identify opportunities to improve billing processes and reduce errors

Compliance & Audit Support:

  • Ensure adherence to internal controls, accounting standards, and regulatory requirements.
  • Support internal and external audits with accurate documentation and timely responses.

Performs other related duties as assigned.

Required Skills/Abilities:

  • Associate’s or bachelor’s degree in Accounting, Finance, or related field
  • 1–3+ years of experience in billing, accounts receivable, or related finance role
  • Strong understanding of GAAP and accounting best practices.
  • Familiarity with billing for subscription/recurring revenue models is a plus
  • Ability to handle sensitive financial information with discretion
  • Proficiency in Microsoft Excel; experience with QuickBooks Online or similar accounting software a plus.
  • Exceptional analytical and problem-solving skills with high attention to detail and accuracy.
  • Strong communication skills and ability to collaborate effectively across teams and clients.
  • Highly reliable, punctual, and able to thrive in a fast-paced, in-office environment.

Physical Requirements:

  • Prolonged periods of sitting, predominately in an office environment.
