Our Long Beach facility currently operates as a 79-bed adult voluntary acute inpatient program, offering private rooms and individualized treatment delivered by a multidisciplinary team. We are dedicated to best practices and person-centered care, supporting each patient's journey toward stability and recovery. To promote continuity of care beyond inpatient treatment, we also offer Partial Hospitalization (PHP) and Intensive Outpatient (IOP) programs tailored to meet each individual's clinical needs. We are also actively expanding our services across Southern California, with our new San Bernardino campus expected to open later this year.

Position Summary

The Regulatory Coordinator supports the organization's compliance with applicable federal, state, county, licensing, accreditation, and regulatory requirements. The position assists with monitoring regulatory standards, maintaining compliance documentation, coordinating audits and surveys, tracking corrective actions, and supporting continuous readiness for regulatory and accreditation reviews.

Working closely with Quality, Clinical Services, Nursing, Medical Staff, Human Resources, Risk Management, and Administration, the Regulatory Specialist helps ensure that organizational policies, practices, documentation, and operations remain consistent with applicable requirements and established standards of care.

The ideal candidate is detail-oriented, organized, analytical, and knowledgeable about healthcare regulatory requirements, with the ability to identify compliance gaps and work collaboratively with departments to address them.

Essential Duties and Responsibilities

  • Regulatory Compliance
  • Monitor applicable federal, state, county, licensing, and accreditation requirements affecting behavioral health and psychiatric services.
  • Assist in interpreting regulatory requirements and communicating applicable changes to leadership and operational departments.
  • Maintain current regulatory and accreditation standards, guidance, and compliance resources.
  • Monitor organizational compliance with licensing and regulatory requirements.
  • Assist with regulatory filings, reports, renewals, certifications, and required submissions.
  • Maintain regulatory calendars and track deadlines for required submissions, renewals, audits, and corrective actions.
  • Survey and Audit Readiness
  • Support ongoing readiness for regulatory inspections, licensing surveys, accreditation surveys, and external audits.
  • Conduct routine compliance reviews, tracers, audits, and monitoring activities.
  • Review medical records, personnel files, policies, training records, committee documentation, and other records for compliance.
  • Identify potential deficiencies and communicate findings to appropriate leaders.
  • Assist departments in preparing documentation and evidence for surveys and audits.
  • Participate in survey preparation, survey activities, and post-survey follow-up.
  • Corrective Action and Performance Improvement
  • Maintain tracking systems for regulatory findings, deficiencies, corrective action plans, and follow-up activities.
  • Assist departments in developing and implementing corrective action plans.
  • Monitor corrective actions to ensure completion within established timeframes.
  • Conduct follow-up audits to determine whether corrective actions have been effective and sustained.
  • Escalate unresolved compliance concerns to appropriate leadership.
  • Documentation and Reporting
  • Maintain accurate regulatory and compliance files.
  • Prepare compliance reports, audit summaries, dashboards, and other reports for leadership and quality committees.
  • Assist with preparation of materials for Quality Assurance/Performance Improvement (QAPI), governing body, compliance, risk management, and other committees.
  • Maintain organized documentation supporting regulatory compliance and survey readiness.
  • Track trends in compliance findings and assist with identifying opportunities for improvement.
  • Policy and Procedure Support
  • Assist with reviewing policies and procedures for alignment with current regulatory and accreditation requirements.
  • Identify policies requiring revision based on changes in regulations, standards, or organizational practices.
  • Assist with policy review schedules and documentation of approvals.
  • Support communication and implementation of regulatory changes throughout the organization.
  • Education and Staff Support
  • Assist with development of regulatory and compliance education for employees.
  • Provide departments with guidance regarding documentation and regulatory requirements within the scope of the position.
  • Support compliance-related orientation and ongoing education.
  • Assist with maintaining records of required employee training and competencies.
  • Quality and Risk Management
  • Collaborate with Quality, Risk Management, Clinical Leadership, and other departments to identify compliance risks.
  • Assist with monitoring incidents, complaints, grievances, and other data for potential regulatory concerns.
  • Support investigations and documentation of compliance-related issues as assigned.
  • Participate in quality improvement initiatives designed to reduce regulatory risk and improve patient care and organizational performance.

Qualifications

Education

Bachelor's degree in healthcare administration, health services, business administration, public health, nursing, psychology, or a related field preferred.

Equivalent education and relevant healthcare compliance experience may be considered.

Experience

Minimum of 1-2 years of healthcare, behavioral health, psychiatric hospital, regulatory, quality, compliance, or accreditation experience preferred.

Experience with healthcare regulatory requirements, audits, licensing surveys, or accreditation processes preferred.

Experience working in an inpatient psychiatric or behavioral health environment strongly preferred.

Preferred Qualifications

Knowledge of or experience with applicable healthcare regulatory and accreditation requirements, including, as applicable:

State behavioral health and healthcare licensing requirements

Federal healthcare regulations

CMS requirements

Joint Commission, CARF, or other applicable accreditation standards

Patient rights and grievance requirements

Medical record and documentation standards

Staff credentialing and competency requirements

Infection prevention and safety requirements

Quality assurance and performance improvement

Healthcare privacy and confidentiality requirements

Behavioral health and psychiatric hospital regulatory requirements

Skills and Abilities

Strong attention to detail and organizational skills.

Ability to interpret regulatory requirements and translate them into practical operational expectations.

Strong written and verbal communication skills.

Ability to conduct audits and identify compliance deficiencies.

Strong analytical and problem-solving skills.

Ability to manage multiple projects and regulatory deadlines.

Proficiency with Microsoft Office and electronic healthcare/document management systems.

Ability to maintain confidentiality and handle sensitive information appropriately.

Ability to work independently while collaborating effectively with multidisciplinary teams.

Ability to communicate compliance concerns professionally and constructively.

Ability to prioritize work in a fast-paced healthcare environment.

Physical & Environmental Requirements

Frequent walking, standing, sitting, twisting, and bending are required.

Must possess adequate auditory capacity to communicate clearly and follow verbal instructions.

May be required to lift and carry objects weighing up to 25 pounds.

Ability to sit or stand for extended periods of time.

Must be able to operate standard office and/or clinical equipment requiring repetitive hand movements, manual dexterity, and fine finger coordination, including the use of computers, telephones, and related devices.

The pay range for this role is:
26 - 28 USD per hour(Long Beach)
