Position Summary

As the Venue Administrative Assistant at Empty Bottle, you will support the team with a variety of administrative, marketing, ticketing, and event-related responsibilities. This role works closely with the team to keep event information accurate, support communications and ticketing, and assist with day-to-day venue operations.

Additional responsibilities include but are not limited to:

Marketing

  • Coordinate giveaways with local radio stations, press outlets, online partners, record stores, labels, and other partners to help promote upcoming events.
  • Maintain and organize assets for upcoming shows, ensuring information such as dates, times, and lineups is accurate and up to date.
  • Print in-house posters and coordinate displays throughout the venue and surrounding area.
  • Build weekly and targeted email newsletters.
  • Assist with social media across Facebook, Instagram, and other relevant platforms.
  • Learn and maintain the Empty Bottle brand voice across social channels.
  • Assist with show recap posts using photos provided by in-house photographers.
  • Create social posts and reminders for upcoming events, shows, and specials.
  • Engage with customers, fans, and artists on social media in a professional and engaging manner.
  • Assist with merchandise creation, marketing, and inventory.

Ticketing & Customer Support

  • Ensure event listings are updated with accurate dates, lineups, show times, and other relevant information.
  • Send ticket counts to artists and agencies as needed.
  • Respond promptly and professionally to customer inquiries in person, by phone, and by email.
  • Maintain current knowledge of Empty Bottle events, policies, and customer service practices.
  • Document customer interactions when necessary and route information to the appropriate team members.
  • Build ticket links as needed.

Talent Buying & Production

  • Assist with administrative needs related to talent buying, including updating contacts, uploading contracts, and tracking deposits.
  • Support community and neighborhood programming by assisting with booking and project management for daytime events, performance rentals, and non-musical programming.
  • Occasionally book local support acts in collaboration with the Talent Buyer and Assistant Talent Buyer.
  • Occasionally attend and settle shows on evenings and weekends as a representative of the promoter.
  • Assist the Production Manager with artist and band check-in upon arrival.
  • Work scheduled production and door shifts as needed.
Requirements:

About You:

  • Organized and able to manage multiple priorities and deadlines.
  • Strong attention to detail, particularly when working with event information and communications.
  • Comfortable communicating professionally with customers, artists, agencies, and external partners.
  • Strong written communication skills and an interest in marketing and social media.
  • Comfortable working collaboratively in a fast-paced, event-driven environment.
  • Available to occasionally work evenings and weekends based on the event schedule.
  • Able to perform the essential functions of the position with or without reasonable accommodation.

Position Details

  • Job Type: Part-Time Non Exempt
  • Compensation: $20/ hourly
  • Schedule: Part-time, approximately 10-20 hours per week, with hours increasing during peak season. Some evening and weekend availability is required based on event and production needs.
  • Paid leave and paid sick leave in accordance with Chicago requirements.
  • Transit benefits through a pre-tax payroll deduction program
