The University of NewMexico Health Sciences Center Office for Diversity, Equity & Inclusion (HSCDEI) is seeking a collaborative and mission driven individual to serve as theAdministrative Coordinator as a part of the HSC DEI administration team to serveas the primary presence for the front office, and administrative support for programmatic,financial, and grant submission activities.
This role is essentialto the effective day-to-day operations of the HSC Office for Diversity, Equity& Inclusion (DEI). The Administrative Coordinator provides comprehensiveadministrative and operational support to ensure the office functions efficientlywithin a complex academic and healthcare environment. A critical component ofthis role is the ability to proactively coordinate office workflows, manageschedules and logistics, and support meetings, events, and special projects.The Administrative Coordinator ensures that leadership, staff, and stakeholdershave the necessary information, materials, and follow-up support to facilitatetimely communication, informed decision-making, and successful execution of officeinitiatives.
Summary
Coordinates, oversees, and/or performs a wide variety ofadministrative, secretarial, and program support activities on behalf of HSCDEI mission-focused activities. Serves as primary point of operational andadministrative contact for internal and external constituencies, often oncomplex and confidential issues. Coordinates the provision of support servicesto the office, and oversees and/or participates in the coordination,supervision, and completion of special projects and/or events. May serve on avariety of committees in a support capacity.

Duties and Responsibilities
- Provides administrative support for the Community to Careers (C2C) education and career pipeline programs, including procurement activities, purchasing, and coordination of community engagement events.
- Supports all aspects of grant proposal development and submission, including gathering required information, reviewing documentation, and proofreading materials to ensure accuracy, completeness, and compliance with submission requirements.
- Provides comprehensive administrative support for the entire department, ensuring efficient operations and exceptional customer service. Coordinates departmental calendars, meetings, travel, and events; manages office communications and visitor relations; serves as a central point of contact for faculty, staff, students, and external stakeholders; and proactively resolves administrative issues to support the department's strategic and operational objectives.
- Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events, as required.
- Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
- Monitors, implements, and coordinates accounting activities as appropriate and prepares internal reports for management; participates in budget planning and management, as required.
- Assists with project development and planning to ensure more efficient service and organization of the office.
- Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Assists in the coordination, supervision, and completion of special projects and grant writing and reporting as appropriate.
- Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, and related activities.
- May supervise personnel which may include recommendations for hiring performance evaluation, training, work allocation, and problem resolution.
- Enhance professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.
- May serve as Campus Security Authority as outlined by the Clery Act.
- Performs miscellaneous job-related duties as assigned.
