Ophthalmic Consultants of Boston is seeking a detail-oriented, proactive, and collaborative Financial & Administrative Assistant to support our dynamic Research Department. This role offers a unique opportunity to contribute to cutting-edge ophthalmic research while utilizing your financial, organizational, and administrative expertise.

As a key member of the research team, you will help ensure the smooth financial and operational management of clinical research studies, working closely with physicians, research coordinators, study sponsors, and administrative staff. What You'll Do

In this role, you will play an essential part in supporting the financial health and daily operations of our research initiatives by:

Financial Administration

  • Developing a thorough understanding of study budgets to ensure all research-related services are appropriately invoiced, collected, and tracked.
  • Assisting with the negotiation of study budgets and contracts with research sponsors.
  • Processing and monitoring study income, expenditures, and sponsor payments.
  • Preparing, submitting, and tracking invoices to research sponsors.
  • Communicating professionally with sponsors regarding outstanding balances and financial discrepancies.
  • Entering charges for study visits and diagnostic procedures into the billing system.

Research & Administrative Support

  • Supporting the maintenance and development of databases for research study candidates and participants.
  • Working closely with Research Coordinators to maintain study records, files, and regulatory documentation.
  • Coordinating research participant appointments in accordance with study protocols and physician schedules.
  • Assisting with department projects and process improvement initiatives.
  • Answering and triaging calls related to research activities and services.
  • Helping develop and refine department policies and procedures that improve efficiency and effectiveness.

Team Collaboration

  • Building positive working relationships with research, clinical, and administrative teams.
  • Identifying concerns and communicating recommendations and solutions in a timely manner.
  • Managing multiple projects and deadlines while maintaining exceptional attention to detail.
  • Upholding the highest standards of professionalism, integrity, and confidentiality.

What We're Looking For

Required Qualifications

  • Strong proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Excellent organizational, communication, and time-management skills.
  • Ability to work independently, take initiative, and manage competing priorities.
  • Strong attention to detail and commitment to accuracy.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience in a high-volume professional or healthcare environment.
  • Experience with accounting, bookkeeping, accounts receivable, or financial administration.
