Position Title

Project Specialist

Primary

Purpose

Provide support to ensure that the goals and objectives of the program are achieved.

Essential

Duties

  • Coordinate arrangements for staff travel, trainings, etc.;
  • Prepare training materials;
  • Maintain staff office inventory;
  • Maintain an up to date calendar of events;
  • Create event/promotional flyers;

  • Attend staff meetings and take notes;
  • Answer phone calls and emails promptly and forward inquiries to respective Piha staff members;
  • Attend and assist program events and take pictures for organization;
  • Keep up to date records of community engagement events;
  • Assist team with making calls and follow up with families of chronically absent students.

Other Duties

Other duties as assigned.

Work Hours

  • 20 hours per week, 8:00 am to 12:00 pm, Monday through Friday or as determined by the supervisor;
  • Position requires regular and predictable attendance;
  • Some events on evenings or weekends at various times.

  • Traveling in a personal vehicle to and from program sites.

Computer and laptop, office and/or work cell phone/Bluetooth, printer, scanner, shredder, copier, fax machine.

Physical:

  • Requires lifting and carrying up to 25 pounds on an occasional basis;
  • Must be able to sit and work at a desk/computer for the majority of the work day.

  • Exhibit courteous and professional demeanor towards program participants, staff and administration via verbal, written, physical, and electronic correspondence;
  • Good oral and written communication skills;
  • Must be able to maintain confidentiality.

Minimum

Qualification

Requirements

Required:

  • High school diploma or equivalent and one (1) year of administrative or clerical experience;
  • Must be proficient in Microsoft Office and Google Workspace;
  • Must have access to a vehicle, have a valid driver's license, a safe and responsible driving record, and current no-fault auto insurance, with at least $100K in bodily injury liabilityper person and $25K in property damage liability.

Preferred:

  • Associates degree in Business or related field;
  • Knowledge and experience in the Hawai’i State Department of Education, financial and personnel systems;
  • Experience with QuickBase.
