Job Description
The Mail Clerk is responsible for providing professional customer service and accurately receiving, documenting, sorting, routing, transporting, and delivering USPS mail, interoffice items, and packages within the client's mailroom environment. The position performs daily startup and end-of-day activities, collects packages from designated receiving areas, records package barcodes and tracking information, prepares mail for distribution, completes scheduled mail runs, collects outgoing materials, maintains required logs, responds to customer communications, and ensures a clean, organized, and professional work area.
Responsibilities Include:
- Customer Service Excellence – Provide professional and respectful interactions with customers and internal teams; respond to requests in a timely and appropriate manner; communicate clearly, accurately, and with accountability; demonstrate ownership and follow-through; and consistently support a positive customer experience.
- Professional Appearance & Site Culture – Maintain a clean, professional appearance in accordance with OMG dress code requirements; demonstrate respect for customer staff and visitors; understand client-site expectations and norms; and adapt behavior to location-specific workflows and the work environment.
- Start-of-Day Operations – Prepare the mailroom and designated work areas for daily operations; turn on required equipment and customer systems; review and respond to emails and communications from the previous day; collect packages delivered to the receiving dock by approved carriers; document package barcodes and required tracking information; sort incoming mail; and prepare materials for distribution.
- Mail & Package Receiving – Receive USPS mail, interoffice items, packages, and other assigned materials; collect mail from designated mailbox locations and packages from the receiving dock; verify and record required package information; and maintain accurate logs for incoming materials.
- Mail Sorting & Distribution – Review and sort incoming mail using established site procedures; prepare mail and packages for efficient distribution; load assigned materials onto carts; and ensure items are organized for timely delivery to the correct locations.
- Package Tracking & Documentation – Document barcodes and other required tracking information for incoming packages; record packages collected during scheduled runs; maintain accurate logs; and ensure required documentation supports accountability and appropriate handling.
- Mail Runs & Delivery – Complete scheduled mail runs; load carts with incoming mail and packages; document designated incoming items, including red envelopes when required; deliver materials to the correct locations; and provide timely and professional service throughout the route.
- Outgoing Mail & Package Collection – Collect outgoing mail and packages during scheduled delivery runs; return items to the mailroom for processing and shipment; and ensure materials collected for future processing are appropriately documented and secured.
- Final Mail Run & End-of-Day Activities – Complete the final daily mail run, including distribution of mail and packages received from the courier; log packages and mail collected during the final run that will be processed the following business day; review and respond to last-minute customer communications; clean and organize the desk and work area; and prepare the mailroom for the next day.
- Safety, Privacy & Confidentiality – Safely transport mail and packages using assigned carts and equipment; maintain control of materials during handling and delivery; protect sensitive and confidential information from unauthorized access or visibility; and follow established client-site safety and security procedures.
- Professional Conduct – Demonstrate patience, professionalism, attentiveness, reliability, accountability, teamwork, and a strong work ethic while maintaining a positive and productive work environment.
- Other Duties – Perform additional duties and assignments as directed by management to support operational and business needs.
Qualifications
- High school diploma or equivalent required.
- Previous experience in a mailroom, shipping and receiving, logistics, customer service, records processing, or administrative support environment is preferred.
- Basic computer proficiency and ability to use email and electronic tracking or customer systems.
- Strong attention to detail, organizational, and time-management skills.
- Effective verbal and written communication and customer-service skills.
- Ability to accurately follow established mail, package, tracking, routing, and delivery procedures.
- Ability to safely operate carts and other assigned delivery equipment.
- Ability to handle sensitive and confidential information appropriately.
- Ability to work independently and as part of a team in an active client-site environment.
Work Environment & Physical Requirements
Work is performed in a mailroom, office, receiving dock, and other active client-site environments and requires regular movement between work areas and delivery locations. The position may involve the use of carts, computers, email systems, tracking tools, and other assigned equipment. Physical requirements include frequent standing, walking, bending, reaching, and transporting mail and packages; the ability to safely push carts; sufficient manual dexterity to operate computer and tracking equipment; and the ability to lift, carry, push, and/or pull materials, using lift assist tools as needed, as required by the assigned site.
