Position Summary

The Product Coordinator is responsible for coordinating and managing product samples across multiple home furnishings categories, including furniture, lighting, accessories, and rugs. This role serves as a key point of coordination between product development, design, sales, photography, international teams, vendors, and other internal departments to ensure samples are received, tracked, reviewed, stored, and made available according to project timelines.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple projects and deadlines in a fast-paced, design-focused environment.

Key Responsibilities
    Coordinate all incoming product samples across multiple categories, including furniture, lighting, accessories, and rugs.Maintain a centralized sample tracker containing sample status, expected delivery dates, revisions, approvals, and other relevant product information.Coordinate sample shipments, including tracking packages, monitoring delivery timelines, and resolving shipping delays or issues.Receive, organize, unpack, and assemble incoming samples for internal review.Prepare samples for product development, design, sales, photography, trade shows, showroom displays, presentations, and other company needs.Schedule and coordinate sample review meetings and ensure necessary samples are available for review.Ensure final approved samples are clearly identified, properly labeled, and stored in designated locations.Maintain and organize samples by category, vendor, collection, development stage, or other relevant criteria.Coordinate sample pulls and returns for photography, events, showroom displays, presentations, and other company initiatives.Maintain accurate records of sample locations, status, approvals, and movement.Communicate sample-related timelines, updates, and outstanding items to internal teams, including teams located internationally.Help ensure all required samples are available ahead of product launches, photo shoots, market appointments, trade shows, and other key deadlines.Identify delayed, missing, damaged, or incorrect samples and proactively escalate issues when necessary.Collaborate cross-functionally with internal teams and external vendors to keep sample development and delivery timelines on track.Support general product coordination and administrative tasks as needed.
Qualifications & Experience
    1–2 years of product coordination, product development, merchandising, or related experience preferred.Bachelor’s degree preferred.Knowledge or experience within the home furnishings, furniture, rug, lighting, or interior design industry preferred.Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.Excellent attention to detail and accuracy.Strong written and verbal communication skills.Ability to communicate effectively with cross-functional and international teams.Proactive problem-solving skills and the ability to identify potential issues before they impact deadlines.Proficiency with Microsoft Office, Excel, or similar organizational and tracking tools.Ability to work effectively in a fast-paced, deadline-driven environment.Ability to handle and organize physical product samples and assist with unpacking and assembling samples as needed.
