Description:

Precision Healthcare Specialists is seeking a highly organized and detail-oriented Surgical Scheduler to join our Colorectal specialty team. The Surgical Scheduler will be responsible for coordinating and scheduling surgical procedures for our colorectal patients while ensuring all necessary information, documentation, authorizations, and pre-operative requirements are completed accurately and timely.

The ideal candidate will have previous healthcare scheduling experience and be comfortable working with physicians, surgery centers/hospitals, insurance companies, patients, and clinical teams. Strong communication, organization, attention to detail, and the ability to manage multiple priorities are essential for success in this role.


Key Responsibilities
  • Schedule surgical procedures based on physician orders, patient needs, and facility availability.
  • Coordinate surgery dates and times with patients, physicians, surgery centers, hospitals, and other healthcare facilities.
  • Communicate with patients regarding surgery dates, arrival times, locations, and pre-operative instructions.
  • Ensure all required surgical paperwork, orders, medical records, and documentation are completed and submitted appropriately.
  • Coordinate pre-operative appointments, testing, labs, imaging, medical clearance, and other requirements as needed.
  • Verify insurance benefits and coordinate with authorization teams to ensure required authorizations are obtained prior to surgery.
  • Work closely with insurance verification, prior authorization, clinical, and Revenue Cycle teams to resolve issues that could delay or prevent a procedure.
  • Confirm that surgical procedures are scheduled correctly based on the physician's orders and the patient's diagnosis and treatment plan.
  • Communicate procedure changes, cancellations, and rescheduling with all appropriate parties.
  • Maintain accurate surgical schedules and update patient information in the electronic medical record and scheduling systems.
  • Follow up on outstanding requirements to ensure patients are prepared for surgery.
  • Coordinate with surgical facilities regarding scheduling requirements, physician preferences, equipment, and other necessary arrangements.
  • Provide patients with clear instructions regarding pre-operative preparation and what to expect before their procedure.
  • Maintain confidentiality of patient information and comply with HIPAA and company policies.
  • Identify potential scheduling or authorization issues early and communicate them to the appropriate team members.
  • Assist with resolving scheduling conflicts and work to accommodate urgent or time-sensitive surgical needs.
  • Maintain organized and accurate records of scheduled procedures and related communications.
  • Provide excellent customer service and a professional, compassionate experience for patients.
  • Perform other duties as assigned.
Requirements:
  • High school diploma or equivalent required.
  • Previous experience in a medical office, surgical scheduling, hospital, surgery center, or specialty physician practice preferred.
  • Previous surgical scheduling experience strongly preferred.
  • Knowledge of medical terminology and common surgical procedures.
  • Familiarity with insurance verification and prior authorization processes preferred.
  • Experience working with electronic medical records and scheduling systems.
  • Strong computer and data-entry skills.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to manage multiple surgical cases, deadlines, and priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Ability to communicate professionally with patients, physicians, clinical staff, insurance companies, and surgical facilities.
  • Ability to work independently while also functioning effectively as part of a team.
  • Must be dependable, responsive, and able to follow through on time-sensitive tasks.
Preferred Experience
  • Surgical scheduling
  • Colorectal, general surgery, gastroenterology, or other surgical specialty experience
  • Hospital or ambulatory surgery center scheduling
  • Insurance verification and prior authorization
  • Medical terminology
  • Electronic medical records/EHR systems
  • Physician practice or specialty clinic experience
What We're Looking For

We are looking for someone who is organized, dependable, detail-oriented, and comfortable taking ownership of the surgical scheduling process. The right candidate should be able to keep track of multiple moving parts, communicate effectively with patients and medical professionals, and recognize potential problems before they cause a surgical delay.

Experience in a colorectal or surgical setting is a plus, but we are also open to candidates with strong medical scheduling or healthcare coordination experience who are eager to learn.

Work Environment

This is a patient-facing, non-clinical healthcare position supporting our Colorectal specialty team. The position requires frequent communication with patients, physicians, clinical staff, insurance representatives, and surgical facilities and requires the ability to work in a fast-paced environment while maintaining accuracy and professionalism.
