SALARY: DOE
POSITION STATUS: Regular Full-Time, FLSA NON-EXEMPT
HOURS PER WEEK: 40
POSITION DESCRIPTION:
The purpose of the Facilities Maintenance Administrative Assistant is to greet and serve guests, clients, and staff in a professional and gracious manner. The Facilities Maintenance Administrative Assistant is also expected to complete all administrative duties, including maintaining office files, retrieving mail, answering the telephone, and maintaining accurate records for the Facilities Director.
ESSENTIAL DUTIES:
- Provide administrative support for the Facilities Director, including assistance as requested in performing the duties of the office.
- Must compose correspondence, maintain files, route mail, and distribute memos to staff.
- Must have excellent oral and written communication skills and be able to exchange
- information with others in a clear and concise manner.
- Conduct inventory and order office supplies.
- Answer and handle all incoming calls.
- Place outgoing calls as needed.
- Attention to detail and communication of accurate telephone messages.
- Respond to guest issues and complaints in a timely manner after receiving instruction from the Facilities Director.
- Preparation and mailing of all department correspondence
- Keep Managers’ vacation schedules up to date.
- Keep the Manager’s meeting schedule.
- All other duties as assigned.
- Good organizational skills and the ability to deal effectively with large volumes of work.
- The ability to listen, read, write, and speak, both clearly.
- Flexibility to respond to a range of different work situations.
- Ability to work under pressure and under own initiative.
- Strong computer skills (Microsoft Office Suite)
- Must be able to sit, stand, see, hear, stoop, twist, and walk.
- Must be able to lift a minimum of twenty-five (25) pounds.
MINIMUM QUALIFICATIONS:
High School Diploma or GED is required; some college preferred. Two (2) years of minimum experience in a maintenance environment.
INDIAN PREFERENCE:
Preference will be given to qualified applicants who are members of federally recognized Native American tribes. To be considered for Native American Preference, you must submit your Certificate of Indian Blood (CIB) or Tribal ID with your application.
