JOB TITLE: Clinical Care Coordinator
EMPLOYER: NJ Vein Specialists
REPORTS TO: Practice Administrator
PAY RANGE: OPM Pay Grade 4 (Hourly)
FLSA STATUS: Non-Exempt
LOCATIONS: Glen Rock and Woodland Park (Monday through Friday)

SUMMARY: The Clinical Care Coordinator at NJ Vein Specialists provides essential support in the patient care process, from welcoming patients to the clinic, gathering their medical history, and ensuring seamless communication between patients and healthcare providers. The successful candidate will play a vital role in prepping examination rooms, maintaining accurate medical records, and facilitating the overall efficiency of clinic operations.

DUTIES AND RESPONSIBILITIES:
Patient Intake and Medical History –
- Welcome and assist patients upon arrival, ensuring a positive and comfortable experience.
- Collect patients’ medical history and chief of complaints.
- Input patient data accurately into the Electronic Medical Records (EMR) system.

Room Preparation –
- Prep examination rooms before the doctor’s arrival, ensuring cleanliness and availability of necessary supplies.
- Arrange and organize equipment and tools needed for patient examinations.

Chart Preparation –
- Review patient schedules and prepare charts in advance of clinic days.
- Ensure that all necessary patient information, medical history, and relevant documents are readily available for healthcare providers.

Scribing Notes –
- Assist healthcare provider during patient visits by accurately documenting medical notes in real-time.
- Transcribe dictated information, maintaining precision and attention to detail.

Inventory Management –
- Monitor and manage inventory levels for medical supplies and equipment.
- Place orders for supplies as needed, ensuring adequate stock levels are maintained.

Patient Communication –
- Initiate phone calls to patients for appointment reminders, follow-up, and relay important information.
- Address patient inquiries and provide assistance in navigating healthcare processes.

Collaboration with Healthcare Team –
- Collaborate with doctors, nurses, and administrative staff to facilitate efficient patient care.
- Brief healthcare providers on patients’ medical history and any relevant information before their arrival.
- Performs other duties as assigned by management.

QUALIFICATIONS:
- High school diploma or equivalent; additional education or training in healthcare administration is a plus.
- Proven experience in a healthcare setting, with a focus on patient care coordination.
- Familiarity with Electronic Medical Records (EMR) systems.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and adhere to healthcare privacy regulations.

FLSA Classification: This position is classified as Non-Exempt under the Fair Labor Standards Act (FLSA). The Clinical Care Coordinator performs clinical and administrative support duties that are essential to patient care and practice operations. The role follows established policies, procedures, and clinical protocols and does not involve the level of independent judgment, management responsibility, or advanced specialized education required to qualify for an exempt classification. Employees in this position are eligible for overtime compensation in accordance with applicable federal and state wage and hour laws.
