Staffing Coordinator in Grants Pass, Oregon at Olympus EE LLC

The Staffing Coordinator – ALF supports the assisted living community by coordinating and maintaining staff schedules to help ensure appropriate coverage to meet resident needs and community operations. The position works closely with the Wellness Director and community leadership to identify staffing needs, coordinate coverage for open shifts and call-offs, maintain accurate scheduling records, and communicate staffing needs to team members.

The Staffing Coordinator serves as an important resource for caregivers, medication technicians, wellness staff, and community leadership and helps promote consistent staffing, effective communication, and continuity of resident services.

• Coordinates and maintains schedules for caregivers, medication technicians, and other assigned wellness team members to support appropriate staffing coverage and resident needs.
• Monitors daily and upcoming schedules and proactively identifies open shifts, potential coverage gaps, and other staffing needs.
• Coordinates coverage for call-offs, open shifts, schedule changes, vacations, leaves, and other staffing needs in accordance with established community practices.
• Communicates available shifts, schedule changes, and staffing needs clearly and timely to appropriate team members and community leadership.
• Works closely with the Wellness Director and other community leaders to understand resident service needs and adjust staffing coordination accordingly.
• Maintains accurate and current employee schedules and staffing records.
• Assists with tracking attendance, tardiness, call-offs, and other scheduling-related information and communicates concerns to the appropriate leader.
• Supports new-hire scheduling and helps coordinate orientation, training schedules, and initial shift assignments as directed.
• Assists with interview scheduling and other staffing or recruiting coordination activities as assigned.
• Helps ensure employees are scheduled appropriately based on their assigned role and applicable training or credential requirements.
• Reviews staffing needs regularly and communicates anticipated shortages or coverage concerns to the Wellness Director or appropriate community leader.
• Helps minimize unnecessary overtime and agency utilization while supporting appropriate resident coverage and community needs.
• Assists leadership with monitoring staffing patterns and identifying opportunities to improve scheduling practices.
• Responds promptly and professionally to staffing-related calls, messages, and questions from team members.
• Maintains confidentiality of employee, resident, and organizational information.
• Builds positive working relationships with caregivers, medication technicians, wellness staff, department leaders, and other community team members.
• Demonstrates professionalism, tact, dependability, and sound judgment when addressing time-sensitive staffing situations.
• Escalates staffing concerns that cannot be resolved within the scope of the position to the Wellness Director or appropriate community leader.
• Follows Company policies and procedures and applicable assisted living requirements related to assigned responsibilities.
• Supports a positive, resident-centered environment by helping maintain consistent staffing and continuity of services.
• Maintains regular and reliable attendance and performs assigned responsibilities within established timelines.
• Performs other related duties consistent with the position as assigned.
