We're looking for a compassionate, organized, and self-motivated Client Care Professional to serve as the primary onsite team member in one of our independent office locations.
This is an excellent opportunity for someone who enjoys working independently, taking ownership of their office, and creating an exceptional client experience while staying closely connected with a supportive remote team.
What You'll DoAs the Client Care Professional, you'll be the welcoming face of the office while ensuring daily operations run smoothly. You'll support clients throughout their legal journey and coordinate with attorneys, paralegals, medical providers, insurance representatives, and remote teammates to provide outstanding service.
Responsibilities include:
- Welcome clients and visitors while creating a warm, professional first impression.
- Serve as the primary point of contact for the office, handling phone calls, emails, and walk-in inquiries.
- Coordinate communication between clients, attorneys, medical providers, insurance companies, and internal teams.
- Schedule appointments, meetings, and medical visits.
- Maintain accurate client records and documentation within our case management system.
- Track client requests, callbacks, and follow-up tasks through completion.
- Assist with client disbursements, correspondence, and administrative support.
- Manage front desk operations, including mail, deliveries, office supplies, conference rooms, and overall office readiness.
- Maintain a clean, organized, and welcoming office environment.
- Collaborate closely with remote teammates to ensure clients receive seamless support.
- Perform additional client support, administrative, and operational responsibilities as needed.
Unlike a traditional front desk position, you'll be the primary onsite team member responsible for keeping the office running smoothly day to day. You'll have the independence to manage your office while knowing you'll always have the support of experienced teammates working remotely.

- High school diploma or equivalent
- Customer service, reception, hospitality, or administrative experience
- Strong communication and organizational skills
- Ability to maintain confidentiality and professionalism
- Associate's or Bachelor's degree
- Legal, personal injury, or client service experience
- CRM or case management software experience (Litify is a plus)
- Notary Public
- Spanish or other bilingual language skills
