Job Description
KDG Construction Consulting is seeking a Document Control Specialist to support our Project Management Division on a specialized infrastructure recovery program. This role is responsible for providing high-level construction support services, ensuring the accuracy and integrity of project documentation for large-scale infrastructure work. The Document Control Specialist helps maintain consistent workflows, assists with processing plan check submissions and permit applications, and ensures effective coordination between Project Managers, technical teams, and external partners. This position plays a key role in ensuring timely processing of project inquiries, accurate tracking of submissions, and compliance with rigorous agency filing procedures.
Position Summary:
The Document Control Specialist supports the Project Management team by performing day-to-day document management functions, including screening permit applications for completeness, tracking project deliverables, and maintaining comprehensive project logs. This role requires a strong understanding of construction workflows and experience working within digital platforms such as SharePoint, OneDrive, ShareFile, or specialized project control software. The Document Control Specialist plays a critical role in ensuring project compliance, organized record-keeping, and the efficient flow of information between all project stakeholders within the construction and engineering industry.
Key Responsibilities
General Document Control:
• Establish and maintain project document filing systems in accordance with established procedures
• Prepare and review written correspondence for formatting, punctuation, and grammar
• Prepare meeting minutes, status updates, and formal reports using standardized forms
• Maintain and update comprehensive document control logs to ensure accurate project tracking
• Develop and maintain electronic and hard file systems for efficient document retrieval and collaboration
Project & Industry-Specific Support:
• Assist project personnel, plan checkers, and permit technicians in processing and facilitating public inquiries and plan check submissions
• Support the processing of construction-specific documents including submittals, permit applications, and review timelines
• Enter and track project documentation within project management systems to ensure alignment with control software
• Assist in tracking submission backlogs and provide current status of submitted plans and applications
• Demonstrate flexibility and adaptability while supporting multiple project locations and tasks simultaneously
Qualifications
Required:
• 5+ years of document control experience specifically in the construction field
• Experience working with public agencies or government entities
• Proficient in Microsoft Office, with advanced skills in Excel and spreadsheet management
• Experience with OneDrive, SharePoint, or other digital collaboration platforms
• Must be detail-oriented with effective organization and coordination skills
• Ability to work in a fast-paced environment and meet tight deadlines
• Familiarity with Project Control Software
Preferred:
• Experience in reading construction plans
• Knowledge or experience with ShareFile
Core Competencies:
• High level of accuracy and attention to detail
• Strong organizational and time management skills
• Ability to interface and communicate effectively with others, including public stakeholders, with a positive attitude
• Ability to handle a changing and increasing workload
• Professional communication skills with internal teams and external partners
Anticipated Salary Range: $73,000.00 - $81,000.00 per year
