Job Description

The Executive Assistant is a high-impact role requiring a sophisticated, proactive professional who embodies Redland’s values and operates with the highest level of discretion. This role provides comprehensive administrative and strategic support to the CEO, ensuring their time is optimized and their priorities are advanced. As a key liaison between the CEO and internal and external stakeholders, this position requires a self-starter who can anticipate needs, manage complex logistics, and produce high-quality work in a fast-paced executive environment.

This position requires the following at a minimum:

Responsibilities

  • Providing dedicated administrative and strategic support to the CEO to maximize their efficiency and effectiveness.
  • Managing the CEO’s complex and frequently changing calendar, including vetting meeting requests, coordinating travel logistics, and prioritizing daily schedules.
  • Assisting in the preparation and finalization of executive-level presentations, board reports, speeches, and firm-wide communications.
  • Acting as a primary point of contact and gatekeeper for the CEO, handling internal and external inquiries with professionalism and poise.
  • Coordinating executive-level meetings and special events, including drafting agendas, capturing action items, and ensuring necessary follow-up.
  • Overseeing special projects on behalf of the CEO, performing research and data analysis to support strategic decision-making.
  • Performing other duties as required to support the CEO’s office and Redland’s overarching mission.
  • Qualifications

    Education & Experience

  • Possessing a bachelor’s degree in Business Administration, Communications, or a related field.
  • Holding 3–7 years of experience in a support role, preferably supporting C-suite leadership within the professional services or AEC industry.
  • Possessing a high degree of emotional intelligence and the ability to navigate complex organizational dynamics.
  • Demonstrating a proven track record of maintaining strict confidentiality and exercising sound professional judgment.

    Technical Knowledge & Skills

  • Demonstrating an ability to prepare visually appealing and highly professional executive documents and presentations.
  • Advanced proficiency with MS Word, Excel, PowerPoint, and Outlook.
  • Ability to quickly master new software, including project management tools and executive communication platforms.
  • Exceptional writing, editing, and proofreading skills with a keen eye for tone and detail.

  • Maintaining flawless attention to detail by reviewing all schedules, travel, and documents for accuracy and completeness.
  • Organizing the CEO’s files and digital records according to the company’s established filing and naming standards.
  • Understanding the CEO’s strategic goals and timelines, working efficiently to anticipate needs before they are articulated.
  • Demonstrating superior organizational skills and the ability to manage competing high-priority tasks under tight deadlines.
  • Being a self-motivated professional who takes full ownership of the executive office operations.
  • Seeking to understand the broader context and objectives of the CEO’s initiatives to provide more impactful support.

    Physical Requirements

    • This position is in-person at our office in Littleton, Colorado.
    • Prolonged periods of sitting at a desk and working on a computer workstation
    • Must be able to lift up to 15 pounds at times.
