JOB SUMMARY
The Oncology and Palliative Care Scheduler/Medical Assistant plays a vital role in supporting patients, providers, and the interdisciplinary care team by coordinating timely access to oncology and palliative care services while ensuring a seamless, patient-centered experience. Under the supervision of Specialty Services Leadership, this position serves as a liaison between patients, caregivers, providers, and clinical staff to coordinate appointments, facilitate care across disciplines, and support access to resources.
In addition to scheduling and care coordination responsibilities, this role provides direct clinical support by rooming patients, obtaining vital signs, updating medical histories and medication lists, preparing patients for provider visits, and assisting with clinical procedures within scope of practice. Working collaboratively with physicians, advanced practice providers, nurses, and other clinical staff, the Scheduler/Medical Assistant supports efficient clinic operations while delivering compassionate, high-quality patient care.
ESSENTIAL DUTIES
Adheres to organizational policies and procedures.
- Schedule and coordinate oncology and palliative care appointments, including consultations, follow-up visits, treatments, diagnostic testing, procedures, surgeries, and supportive services.
- Serve as the primary point of contact for patients and families regarding scheduling, referrals, appointment changes, and access to care.
- Coordinate care among providers, departments, and external facilities to promote continuity of care and efficient clinic operations.
- Assist with insurance verification and prior authorizations as appropriate.
- Maintain accurate scheduling templates, provider calendars, electronic medical records, and required documentation while protecting patient confidentiality.
- Screen telephone calls and route clinical questions and patient concerns to the appropriate care team member.
- Prepare patients for examinations and treatment by obtaining vital signs, medical histories, medication reconciliation, and other clinical information.
- Assist physicians and advanced practice providers with examinations, procedures, specimen collection, dressing changes, splint/cast application, suture or staple removal, and other duties within scope of practice.
- Prepare, clean, disinfect, and stock examination rooms, equipment, and supplies according to organizational and infection prevention standards.
- Order and maintain clinical and office supplies.
- Provide patient education and instructions as directed by the provider.
- Identify and resolve scheduling barriers while communicating delays and expectations to patients.
- Serve as a liaison among patients, families, providers, and interdisciplinary team members to facilitate coordinated care.
- Promote a positive patient experience through compassionate communication, professionalism, and excellent customer service.
- Report patient concerns, complaints, safety events, and quality issues through appropriate organizational channels.
- Assists with orientation of new personnel.
- Complete administrative duties, reports, and other assignments as requested.
- Perform other duties as assigned to meet departmental and organizational needs.
POSITION QUALIFICATION — Education, Experience & Licensure
- High school diploma or GED required.
- Six (6) months experience in a medical field required OR an equivalent combination of education and experience related to the above tasks, knowledge, skills and abilities.
- Medical terminology course, preferred.
- Experience in medical practice scheduling preferred.
- Experience using Electronic Medical Records preferred.
- Knowledge of insurance verification and prior authorization processes preferred.
- BLS, required.
- Central Registry, required.

- Excellent interpersonal, communication, and customer service skills.
- Ability to communicate effectively in English, both verbally and in writing.
- Additional languages desirable.
- Basic computer knowledge.
- Ability to manage sensitive situations with empathy, professionalism, and discretion
