We are looking to add a Payroll Specialist to our Team! The ideal candidate will have experience with high volume payroll processes with direct labor and job costing.
We believe success in this position requires individuals who can work independently, manage their time wisely, and have excellent attention to detail.
What You Will Do
This position is responsible for ensuring accuracy of payroll data and ensures payroll is submitted on time. We complete payroll in-house.
  • Process payroll and ensure that employee demographic and compensation related data is kept up-to-date and accurate.
  • Enter employee compensation and deductions accurately and tracked according to company policy and state/ federal laws.
  • Check changes in the timekeeping system to ensure all hours worked are paid. Ensure all managers are adhering to federal and state payroll laws when checking time.
  • Prepare and file annual W2's.
  • Review Payroll deposits and bounce backs. Re-issue payments and track expenses for returned bank deposits.
  • Submit state new hire reporting.
  • Timely pay child support withholdings and other garnishments.
  • Submit WOTC reporting to agencies in adherence to our agreement with our WOTC providers.
  • Timely process 401k Contributions to the recordkeeper and keep up to date with employee status changes within 401k site.
  • Audit employee contributions for accuracy on a regular basis.
  • Bureau of Labor Statistics quarterly worksite report submission.
  • Review and process all employee expense reports for payment.
  • Keep accurate records of any payroll or timekeeping changes.
  • Assist with the setup and organization of timekeeping setup, systems, and job costing.
  • Other tasks or duties as assigned by the Director of Human Resources.
Union Specific Responsibilities
  • Keep accurate records of union employee tenure with the company and the union.
  • Track and manage union employee's accrued and used PTO balances. Must be able to provide current balances to the union at any time.
  • Calculates and pays the union welfare and pension plan monthly.
  • Pay the COPE Fees and union dues monthly.
POSITION REQUIREMENTS
EXPERIENCE
  • At least 4 years experience working in payroll.
  • Thorough job costing knowledge and understanding highly preferred.
  • Experience working in a labor industry preferred.
COMPETENCIES
  • Attention to detail in reviewing and analyzing information.
  • Excellent verbal and written communication skills.
  • Broad knowledge of US labor law and Leave laws.
  • Some knowledge of accounting best practices.
  • Must have strong problem-solving skills
  • Ability to prioritize multiple projects
  • High degree of integrity
  • Extremely well organized
  • Proficiency in MS Office, including Outlook, Excel and Microsoft Word.
WORK ENVIRONMENT
This job operates in an inside office environment with average office noise levels. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
PHYSICAL DEMANDS
This is a largely sedentary role. The ability to lift files, stand, bend, stoop, and walk is required. Requires ability to use a keyboard, monitor, and phone. Requires ability to communicate verbally and electronically with others.
