About This Position

Midwest Co-op is currently accepting applications for Energy Branch Accounting Clerk. Under direction of the Energy Division Manager, the Energy Accounting Clerk is responsible for accurately receiving product into the computer on a daily basis and ensuring that all products are at current and accurate costs. Responsible for processing all Fuel Sales transactions. Preparing month end inventory reports and reviewing all reports, balancing actual inventory to book inventory. The role also supports special projects that require data entry, data analysis, and the use of advanced Excel functions.

ESSENTIAL JOB FUNCTIONS

  • Process truck reports on a daily basis in an accurate and timely manner, using multiple screens in ESIS. Investigates short/over litres on truck reports and explains reasons to get approval to process the report.
  • Maintains perpetual inventory reports for all energy trucks and balances to AgTrax system.
  • Responsible for product rebranding and preparing monthly reports for journal entry, for submission first business day following month end.
  • Accurately prepares purchase orders to receive energy products on a daily basis. Matches GROWMARK invoices with purchase order to make certain pricing and quantities are correct, and following up on any discrepancies.
  • Assist in the administration of department programs including Max Price Contracts, Fixed Price Contracts, and Equal Billing.
  • Maintain high‑quality data entry and verification processes to ensure accuracy across databases, spreadsheets, and reporting tools.
  • Inputs fuel costs on a daily basis, including any changes if required.
  • Processes and prints end of day reports from the computer system.
  • Execute special projects as assigned, providing analytical support and cross‑departmental coordination under guidance of Energy Division Manager.
  • Utilizes advanced Excel functions (including pivot tables, VLOOKUP/XLOOKUP, conditional formulas, and data visualization tools) to analyze and interpret data.
  • Handles customer account queries and takes necessary action to satisfy the customer.
  • Ensures all month end cutoffs are completed and all necessary reporting is provided.
  • Advises Operations Manager (or Controller as requested) of any irregularities of money or inventory.
  • Answers incoming telephone calls and directs calls to proper staff.
  • Filing, photocopying and general office procedures.
  • Understands and follows all Corporate, Legislative and Health & Safety and Environmental policies and procedures.
  • Maintains proper personal image and care of company assets.
  • Working as part of the MCS team, ensures that company objectives, customer service levels, employee relations and inter- branch relations are improved and promoted.

OTHER JOB FUNCTIONS

  • Follow the Occupational Health and Safety Act (OHSA) regulations for employees: use or wear any equipment, protective devices or clothing required by the employer; report any known workplace hazard to the employer or supervisor; report any known contravention of the Act or regulations to the employer or supervisor; not use or operate any equipment or work in a way that may endanger any worker.
  • Participate in MCS training which includes, but not limited to, the mandatory Ministry of Labour course, MCS Health & Safety Standards and Policies, and Accessibility Policies (AODA).
  • Performs other duties as assigned.

REQUIREMENTS

  • Three to five years experience in accounting and sufficient course work to provide level of accounting expertise needed to perform complex accounting reconciliations
  • Demonstrated communication skills and the ability to interact effectively with internal and external contacts.
  • Proven organizational skills with the ability to work under time pressure and meet deadlines during the daily, weekly, monthly and annual account close cycles.
  • Ability to operate computers with a working knowledge of word-processing and spreadsheet programs.
  • Ability to work without close supervision and be proactive in providing supplier and inventory support regarding related accounting activities.

WORKING CONDITIONS

  • Operates mostly within a normal, environmentally controlled office environment.
  • Sitting for long periods at a terminal or computer.
  • Wears required safety equipment in designated areas.
