Job Summary:
This position supports day-to-day business operations by managing customer relationships, sales support activities, order processing, and administrative functions. Under the general supervision of the CEO and Administrative Director, this role serves as a key point of contact for customers, oversees order fulfillment from intake to shipment, and ensures accurate invoicing and accounts receivable follow-up. The position also assists with advertising and marketing efforts and provides general operational support as needed.
Essential Duties and Responsibilities:
- Manage and maintain customer relationship (CRM) records, ensuring accurate and up-to-date customer information.
- Support sales, advertising, and marketing efforts by engaging with prospective customers, responding to inquiries, and assisting with outreach initiatives.
- Receive, process, and enter customer orders submitted via phone, fax, and email in a timely and accurate manner.
- Prepare and issue customer invoices and perform accounts receivable functions, including payment tracking and follow-up on outstanding balances.
- Coordinate order fulfillment by packaging products in ready-to-ship condition and arranging courier or delivery services.
- Perform occasional local deliveries of urgent products as business needs require.
- Assist with basic bookkeeping functions related to accounts receivable and transaction documentation.
- Maintain a clean, safe, and organized working environment, including performing minor cleaning and housekeeping duties as assigned.
- Perform other operational, administrative, or support duties as assigned to meet business needs.
Qualifications:
- A minimum of one year of customer service and/or sales experience working with healthcare providers
- Valid California driver's license
- High School Diploma or Equivalent
