Job Description

Ironwood Cancer & Research Centers has beautiful state-of-the-art integrated Cancer and Women's Centers, with locations strategically located throughout the Valley. Each one provides a superior cancer care environment with a full spectrum of cancer related services for patients. Our multi-disciplinary team approach includes surgical oncology, medical oncology, radiation oncology, women's centers, diagnostic imaging services, social service support, nutritionist, integrative services, and genetic counseling.

Position Summary:

Under the supervision of the West Valley Operations Manager, the Office Supervisor is responsible for the coordination of all activities, training and overall performance and efficiency within an Ironwood Office. Coordinates and supervises the functions and workflow of the following departments within the assigned office: Front Check-in, Front Check-out and Medical Assistants. Performs job duties and responsibilities in compliance with company policies and procedures. Performs other duties and responsibilities as required. This is a Monday-Friday position in our Surprise Office.

Essential Duties and Responsibilities:

  • Reports to the Operations Manager regarding any issues related to workflows, patients, or employees.
  • Provides a formal written report on a weekly basis.
  • Coordinates and participates in regular meetings with Front Office and MA’s in conjunction with Operations Manager.
  • Participates in Management Team meetings, EMR meetings, and other work groups as assigned.
  • Participates in HR functions such as interviewing and training.
  • Maintains department work schedules and vacation requests and ensures proper staffing levels are maintained.
  • Performs frequent audits of both MA’s and Front Office as directed by leadership to ensure quality measures are met.
  • Orders supplies as necessary.
  • Helps maintain vendor lunch calendar and employee vacation calendar.
  • Monitors and reports on new patients scheduled, assuring guidelines are met.
  • Support Office Manager with other functions as needed.
  • Will divide time and travel between assigned offices.
  • In coordination with trainer, trains all Front Office and MA staff on their duties, computer programs and cross training in other areas. Ensures HIPAA and OSHA guidelines are followed.
  • Ensures the collection of copays and coinsurance by front office staff. Ensures daily batches are reconciled and accurate.
  • Assists other departments in resolving clinic issues.
  • Ability to effectively use office equipment, computer, and typing are essential.
  • Ability to work in a constant state of alertness and in a safe manner.
  • Performs any other duties as assigned by the VP of Operations, Operations Manager or Physicians.

Minimum Qualifications

  • Familiar with general medical terminology and basic insurance benefits.
  • Knowledge of business office functions with analytical supervisory experience in a medical office or ambulatory surgery setting.
  • Excellent verbal and writing communication skills.
  • Ability to use computer and office equipment.
  • Proficiency in Microsoft Office, Word, Excel and Internet.
  • Excellent analytical, verbal and written communication skills.
  • Ability to work independently and exercise strong problem solving skills
  • Operational Experience with Electronic Medical Records (EMR).
  • Preferred knowledge of chemotherapy related drugs and supplies.
  • Preferred knowledge of diagnostic testing and radiation procedures.
  • Ability to use office equipment, computer.

Education and/or Experience:

  • 2-3 years of Supervisory experience in an outpatient medical facility or ambulatory healthcare setting.
  • 1-2 years of Medical Oncology & Radiation Oncology experience preferred.
  • Bachelor’s Degree preferred in Business Management, Health Care Administration, or related field.
  • Certificates, Licenses, Registrations:

  • National MA Certification or ABROE equivalent.
