This role exists to make sure we stay licensed, stay current, and stay ahead of every regulatory requirement across hundreds of active locations.
THE ROLE
As a Licensing & Compliance Coordinator, you will own the end-to-end compliance lifecycle for a portfolio of Lucky Lincoln Gaming locations. You will manage state and municipal license renewals, submit and track Illinois Gaming Board (IGB) applications, process DOJ registrations, coordinate Cook County sticker compliance, support sales agent licensing, and administer the quarterly internet and security reimbursement process. You will be the operational backbone that keeps every location licensed, every machine legal, and every deadline met.
KEY ACCOUNTABILITIES
• Submit and track Net New IGB Establishment License Applications from signed Use Agreement through go-live, including all pre-application documents, flowcharts, and release forms
• Process IGB application amendments for officer changes, ownership transfers, email corrections, and stock sales — following the correct amendment procedures every time
• Submit DOJ Johnson Act registrations immediately after IGB application submission for every new and renewing location; maintain confirmation letters in Google Drive and ILSD
• Manage state gaming and state liquor license renewals for all assigned locations, including owner outreach, payment coordination, documentation upload into SP, and escalation for non-responsive locations
• Renew municipal gaming licenses and Terminal Operator registrations with local municipalities; coordinate payment with accounting and track all renewals
• Verify Cook County gaming sticker compliance for all applicable VGTs; coordinate annual renewal and document sticker status during site visits
• Support the quarterly Internet & Security Reimbursement process: pull qualifying lists from HubSpot, prepare pre-reads, coordinate executive review, and submit final approved lists for payment processing
• Maintain accurate records in internal systems
• Monitor license expiration dates across the portfolio and proactively flag upcoming deadlines before they become compliance issues
• Support sales agent licensing for applicable field team members, including determining the correct application type, coordinating submissions, and tracking license status against the IGB eligible-to-work list
• Ability to prepare, edit, and manage operating agreements, contracts, and corporate governance documents, with a strong understanding of standard business and compliance practices
• Escalate any potential inducement questions, unusual location owner requests, or situations outside documented procedures to the Chief Strategy Officer or Chief Operating Officer immediately — never act independently on compliance judgment calls
Requirements:WHO YOU ARE
• 2+ years in a licensing, compliance, regulatory affairs, or operations coordination role — experience in Illinois video gaming, liquor licensing, or a regulated industry is a strong plus
• Detail-oriented to a fault; you catch discrepancies before they become rejections, and you know that an application is only as good as the name that matches the ILCC record
• Deadline-driven with strong follow-through; you track every open item, follow up without being asked, and don’t close a task until documentation is in the system
• Comfortable working across multiple systems and platforms: Google Drive, ILSD, HubSpot, Service Portal, and Paylocity
• Clear, direct communicator who escalates early and closes loops; you don’t sit on a problem, and you don’t make compliance calls on your own
• Able to obtain any required IGB credentials
• Familiar with the Illinois Video Gaming Act or eager to become an expert quickly — you treat regulatory knowledge as a core job skill, not optional context
• Notary services are a requirement for the role within 90 days of onboarding.
