As the Administrative Assistant, Billing & AR, you’ll play an essential role in supporting operational workflows across billing, authorizations, credentialing, client onboarding, and client services. Your organization, responsiveness, and attention to detail will directly impact the efficiency of our operations and the experience families have with Hand Over Hand. In a fast-paced, growing behavioral health environment, your ability to keep systems organized, communications flowing, and documentation accurate helps ensure continuity of care and operational excellence.

How You’ll Make an Impact

  • Keep operations running smoothly: Support day-to-day administrative workflows across Billing & Accounts Receivable functions
  • Maintain accuracy and organization: Manage documentation, data entry, tracking systems, and operational records with precision
  • Support families and staff: Provide responsive, professional communication to parents, team members, and external stakeholders
  • Assist with authorizations and credentialing: Help track insurance authorizations, provider credentialing, and compliance-related documentation
  • Strengthen operational efficiency: Support process improvements, workflow organization, and cross-functional administrative initiatives
  • Be a trusted support partner: Collaborate across departments to ensure operational continuity during periods of growth and change

What You’ll Own & Elevate

  • Administrative tracking systems, spreadsheets, and documentation workflows
  • Data entry and document management across operational platforms and EMRs
  • Billing and Accounts Receivable administrative support tasks
  • Authorization tracking and follow-up activities
  • Credentialing support, CAQH maintenance, and compliance documentation
  • Client onboarding and administrative coordination processes
  • Communication workflows between departments, families, and leadership
  • Organization of digital filing systems and audit-ready documentation

What You Bring

  • High school diploma or equivalent required
  • 1–3 years of administrative or operational support experience preferred
  • Experience in healthcare, ABA, behavioral health, or medical office settings preferred
  • Familiarity with EMR systems, spreadsheets, and administrative tracking systems preferred
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive information professionally
