Job Description
Position Overview: This position is responsible for oversight and coordination of the Adult Activity Center (AAC) meals and transportation service, including organizing and facilitating processes to ensure quality, efficiency and effectiveness of services. This position coordinates a variety of tasks including scheduling, data entry and tracking, file documentation, internal and external communications and program reporting. This position may perform administrative tasks or delegate the reporting of program services. This position will supervise On-Call Directors, AAC Coordinators, volunteers and interns.
Paid As: Salary, Exempt Full-Time Employee
Reports To: VP Adult Activity Centers
Supervises: On-Call Center Directors, AAC Coordinators, volunteers and interns
Committees: Meets with all Committees as needed or assigned
Other Relationships: Works with all agency departments, agency kitchen vendor, clients, volunteers, board members, city officials and public in general
AGENCY EXPECTATION OF EMPLOYEE
- Maintain confidentiality of client, donor, volunteer, staff and board information
- Support the mission, vision and goals of Meals On Wheels, Inc. of Tarrant County
- Represent Meals On Wheels in a professional manner at all times
- Must have dependable transportation, valid driver license and personal vehicle insurance as required by the State of Texas
- Required to pass criminal background check and have a free and clear MVR
- Assist with meal delivery when volunteer callouts make it necessary for staff to deliver
- Contribute to other projects when necessary
Requirements:ESSENTIAL JOB TASKS
- Provide oversight and delegation of tasks to ensure client meal orders, rosters, route sheets and consumed meals are completed by agency timelines
- Ensure daily and special trip transportation for participants at specified adult activity centers meet agency expectations
- Supervise On-Call Center Directors, AAC Coordinators, volunteers and interns
- Prepare daily, weekly, and/or monthly reports as needed by the VP Adult Activity Centers, Center Directors and staff to facilitate the delivery of program services
- Maintain accurate participant and program records and coordinate strategies to resolve issues related to quality assurance
- Prepare and audit program invoices from transportation service providers and submit transit reports for stakeholders
- Assist VP Adult Activity Centers to create new strategies in supporting program development and expansion
- Manage data entry tasks related to sorting, proofing, updating and storing
- Ensure client confidentiality in time sensitive data collection and data reporting to meet funding and program requirements
- Facilitate communication with Center Directors to ensure timely delivery of program paperwork to address data inconsistencies and gather any missing data
- Reconcile information required for summarizing and reporting program services
- Coordinate the interface between electronic submissions of trip requests with the transportation providers
- Collaborate with Center Directors and transportation vendors, schedules in adherence to program requirements and processes
- Collaborate and support center staff to ensure monthly targets are met, including assisting with center activities
- Conduct bi-annual meal and transportation surveys and on-going customer satisfaction activities, to inform the quality improvement processes associated with program delivery
- Actively participate in outreach projects and events, presentations, meetings and conferences to assist in delivery and program expansion
- Other duties as assigned by supervisor
QUALIFICATIONS
- Associates degree
- Proficiency in Microsoft Office Suite using Outlook, Word and Excel
- Bachelor’s degree in Social Sciences, Urban Planning, Business Administration, or related field preferred
- Bilingual Spanish/English preferred
REQUIREMENTS
- Able to problem solve, organize, manage structure and direct a diverse staff
- Prepare and present reports and work individually and in a team environment
- Communicate effectively with clients, donors, volunteers, staff and board members
- Possess good interpersonal skills and diplomacy
- Proficiency in communicating both verbally and in writing
- Display empathy to older adults and their concerns
- Excellent time management, organizational and problem-solving skills
- Independent judgment and the ability to work with little supervision
- At times, working after hours and weekends may be necessary
- Sit, stand, and lift up to 40 lbs for extended periods of time
EXPERIENCE
- 3+ Years’ verifiable experience in a supervisory role
- 3 - 5 Years’ verifiable experience in a coordinator role preferred
- Verifiable experience in the field of senior and older adult services and program planning preferred
- Familiarity of working with older adults and volunteers is preferred
