Expression of Interest: Special Projects Associate

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Expression of Interest: Special Projects Associate based in the United States.

This is an opportunity to support cutting-edge AI research programs through high-impact operational and special projects work.
You’ll help research teams turn ambitious ideas into well-organized, smoothly executed initiatives.
The role spans complex logistics, external expert coordination, data projects, events, communications, and emerging research needs.
You’ll work in a fast-moving, startup-like environment where priorities evolve and there is rarely a predefined playbook.
Your ability to bring structure to ambiguity will directly contribute to the quality and effectiveness of important research programs.
The position offers significant autonomy, exposure to AI research, and the opportunity to shape responsibilities around your strengths.
This is an expression-of-interest opportunity, particularly suited to highly motivated candidates whose skills strongly align with the team’s evolving needs.

Accountabilities:
  • Support research initiatives: Provide hands-on operational support across new and ongoing research programs, taking ownership of the many logistical and administrative details required to launch and execute projects successfully.
  • Coordinate external contributors: Work with experts, contractors, and other external collaborators across diverse fields, ensuring contributions meet quality standards while creating a positive and efficient working experience.
  • Support data-related projects: Assist with data acquisition, licensing, security, compliance, and other operational requirements associated with research datasets and data-intensive projects.
  • Organize events and programs: Coordinate research events, symposiums, conferences, and other gatherings that bring together experts and stakeholders.
  • Manage communications: Own external communication channels such as shared inboxes, responding directly to inquiries or appropriately triaging requests to the relevant team members.
  • Solve complex operational challenges: Break ambiguous problems into actionable steps, identify creative solutions, and establish processes that help new initiatives operate effectively.
  • Adapt to evolving priorities: Take on a broad range of special projects as organizational needs change, using sound judgment to prioritize work and make effective use of limited time and resources.
Requirements:
  • AI and research interest: Strong interest in AI developments and familiarity with contemporary machine learning concepts, research trends, benchmarks, and the broader evolution of AI systems.
  • Relevant professional experience: At least 2 years of work experience in roles involving multiple priorities, complex coordination, operations, project management, research support, or similarly varied responsibilities.
  • Problem-solving ability: Demonstrated ability to work independently on ambiguous challenges, create structure where none exists, and develop practical solutions without relying on a predefined playbook.
  • Organization and attention to detail: Highly organized, conscientious, and dependable, with a natural ability to manage numerous details, deadlines, stakeholders, and moving parts simultaneously.
  • Communication skills: Excellent written and verbal communication skills, with the ability to communicate directly, clearly, and empathetically with both internal and external stakeholders.
  • Feedback orientation: Proactively seeks feedback, incorporates it quickly, and is comfortable providing thoughtful and constructive feedback to colleagues and leaders.
  • Adaptability: Comfortable working in a fast-paced, startup-like environment where priorities can shift quickly and time is a critical resource.
  • Mission alignment: Genuine motivation to contribute to research that improves understanding of AI development and its broader implications.
  • Work setup: Fully remote work is supported across many countries. Professional-level English proficiency is required, and applicants should submit materials in English. Candidates with availability overlapping UTC−4/5 (Eastern Time) are preferred, as are those able to travel for periodic team retreats and relevant conferences.
  • Inclusive approach: Candidates are encouraged to apply even if they do not meet every listed qualification, particularly when their experience and interests suggest a strong potential fit.
Benefits:
  • Competitive salary: $95,000–$153,000 USD annually, depending on experience and location, with compensation potentially provided in local currencies.
  • Fully remote work: Flexible working hours and the ability to work remotely across many countries.
  • Global benefits: Comprehensive health insurance, applicable supplemental local benefits, life insurance, and pension provisions where available and required.
  • Generous time off: No specific PTO limit, with 30 days per year protected, unlimited personal and sick leave, and up to 4 months of paid parental leave for eligible permanent employees.
  • Flexible expense support: Generous allowances for equipment, productivity tools, and professional learning or development, subject to applicable regulations and manager approval.
  • Travel opportunities: Paid work travel, including three staff retreats each year and relevant conferences.
  • Office access: Access to a well-equipped office in Berkeley, California, including meals, snacks, gym facilities, and other amenities, with staff based anywhere receiving access for at least 20 days annually.
  • Mission-driven environment: An inclusive, equitable, and supportive workplace focused on advancing understanding of AI and its development.
